Role Description This role is a dynamic blend of Legal Support and Client Success, requiring a versatile professional to manage high-stakes visa and litigation files while simultaneously leading the pipeline. Key Responsibilities - Legal Practice Management - Systems Administration: Serve as the primary administrator for Clio, ensuring the integrity and accuracy of all digital case files. - Infrastructure Maintenance: Oversight of document storage protocols within OneDrive and specialized legal management platforms. - Case and File Management - Onboarding & Drafting: Facilitate the end-to-end client onboarding process, including the drafting of retainer agreements and initial file configuration. - Document Production: Prepare professional invoices and draft visa applications, ensuring all annexures are organized and compliant for lodgment. - Litigation Support: Provide high-level assistance to the Senior Solicitor regarding Tribunal, Federal Court, and general litigation documentation. - Deadline Compliance: Proactively manage and diarize all critical visa and court-imposed deadlines to ensure 100% firm compliance. - Client Engagement: Act as a key point of contact for clients via professional phone and email correspondence. - Audit-Ready Documentation: Maintain precise "real-time" records through daily file notes, email filing, and the post-lodgment archiving of supplemental documents. - Social Media & Brand Engagement - Content Strategy: Conceptualize and develop professional digital assets and blog content to drive firm visibility. - Channel Management: Oversee the daily operations and engagement for the firm’s Facebook, Instagram, and LinkedIn profiles. - Administrative Support - Executive Presentations: Curate and design high-impact presentations for the Principal Solicitor as required. - Credential Oversight: Coordinate and maintain the Principal Solicitor’s annual CPD (Continuing Professional Development) records. - Strategic Assistance: Execute specialized ad hoc tasks and projects at the direction of the Principal Solicitor. - Lead Management - Pipeline Optimization: Monitor and update the business development pipeline to ensure accurate lead tracking. - Strategic Outreach: Manage initial lead engagement and outreach initiatives to support firm growth. Qualifications - 2+ years as a Legal Assistant, Paralegal, or Executive Assistant. - Proficiency in Clio, Microsoft OneDrive, and Office 365 (Word, Excel, PowerPoint). - Familiarity with AU visa applications, Tribunal/Federal Court filings, and retainer drafting. - Experience in blog drafting and managing professional Facebook, IG, and LinkedIn accounts. - Good English (written and verbal) for client engagement and lead outreach. - High attention to detail, strict adherence to court deadlines, and ability to maintain meticulous file notes. Requirements - Has own equipment (Laptop or Desktop) at least core i7 with 16 GB RAM and a back-up equipment. - Stable internet connection (at least 100 MBPS upload and download). - Conducive home-office work set-up and noise canceling headset. The position is full-time, long-term in nature, and available upon contract award. - Prepare pre-solicitation documentation to include the solicitation, solicit, prepare pre-award documentation to include contract award/task order, advise, close out, and assist with awards for the procurement of supplies and services while complying with FAR/VAAR & VHA guidance. - Utilize Procurement Acquisition Lead Time (PALT) for expected completion time for processing of actions. - Research, analyze, and review all applicable policies, guidance, and regulations to support the customer and the Government Contracting Officer in their decision-making. - Provide procurement assistance, advice, and guidance to the customer as requested. The contractor does not have approval authority. All advice and guidance shall be approved by the Government Contracting Officer in accordance with FAR 7.503. - Communicate effectively and professionally to internal and external customers. - Advise acquisition team as needed on price, cost, and/or financial related matters throughout the development of sourcing strategies and throughout the solicitation, evaluation, negotiation, and award of contractual actions for supplies and services. - Provide cost and price analysis recommendations as requested regarding independent government estimates. - Other specific tasks shall include: - Acquisition strategy planning - Requirements review and Performance Work Statement (PWS)/Statement of Work (SOW) development in collaboration with customers - Market research to support strategy and justifications - Source selection support - Synopsis and solicitation development - Preparing mandatory contract file documentation - Contract management and administration Qualifications - A bachelor's degree from an accredited college or university is required. Coursework must have included at least 24 semester hours in any combination of the following fields: accounting, business, finance, law, contracts, purchasing, economics, industrial management, marketing, quantitative methods, or organization and management. - The applicant must have experience with a minimum of three (3) or more years of federal and/or commercial acquisition processes. - Experience with VAAR is required for Journeyman and Senior Contract Specialist positions. - Ability to read and interpret Federal acquisition policy, regulations, and directives and to apply those interpretations fully and legally to all contractual activities. - Experience searching databases and conducting market research. - Ability to provide presentations, advice, and expert consultation services to all levels of acquisition professionals within a Government contract office. - Highly skilled at data entry and management. - Experience with compiling reports. JOB SUMMARY: Using the Legal Tracker billing system, the Legal Billing Specialist's primary function is to to pay vendor bills and to set up new firms and new matters. NOTE: This is temporary, full-time position and fully remote. Applicants must be authorized to work in the United States without sponsorship or assistance. Key Responsibilities: - Coordinate, manage and follow up with Accounts Payable issues including processing bills on a timely and sometimes expedited basis - Manage departmental billings. Includes bills from law firms and all vendors, process settlement and other check requests, for Securitas USA Legal Department, selected regions, and affiliated companies - Collate and analyze data regarding billing by creating reports - Assist department attorneys and managers with various office tasks - Design, organize, maintain, and update outside counsel list, including updating rates and approved panel members - Primary liaison with outside billing service and AP - Resolve vendor concerns - Assist with special projects as assigned - Work with Risk Management Department and insurers regarding deductible matters and documentation, including creating and submitting reconciliation spreadsheets - Open and close matters on Legal Tracker MINIMUM QUALIFICATIONS AT ENTRY Additional qualifications may be specified and receive preference, depending upon the nature of the position.
