Operations Coordinator

Legacy Farmer

• Support the Operations team with daily execution and internal coordination • Maintain and update internal documentation, SOPs, and process guides • Assist with CRM (HubSpot) cleanup tasks, property updates, and record accuracy • Help set up accounts, access, and onboarding requirements • Monitor and triage inbound requests from other departments to ensure proper routing and timely follow-up • Troubleshoot operational issues and escalate when needed • Assist with process improvements and operational consistency across teams • Provide ad hoc support for projects, reporting needs, and system-related tasks as directed by the Head of Operations

Job Requirements

  • Strong organizational skills and attention to detail
  • Project coordination experience, including tracking tasks, managing deadlines, and supporting cross-functional workflows
  • Experience working with operational tools such as CRM systems, Zapier, Make, Notion, and Hubspot (strongly preferred)
  • Ability to document processes clearly and maintain updated SOPs
  • Comfortable handling multiple tasks with strong prioritization skills
  • Excellent communication skills
  • Self-starter who thrives in a fast-paced, fully remote environment
  • Proven track record of being dependable, efficient, and proactive

Role Description We are seeking a highly motivated individual to join us as a Patient Operations Management Associate in our Clinical Operations team. The Patient Operations Management Associate role is responsible for supporting the oversight and management of the Participant Pathway related to the scheduling, coordination and tracking of investigational product through the allogeneic enrollment process. This role will help oversee aspects of clinical logistics for one or more clinical trials at Allogene.
