• To provide administrative support including preparing correspondence and reports, filing and other general office support activities. • Produces correspondence, reports, and other documentation; files documents, maintains and tracks suspense file, photocopies, sends and receives facsimile transmissions, etc. • Provides back-up telephone support. • Processes invoices and billings; maintains records. • Maintains unit attendance records; library and/or manuals. • Records meeting minutes. • Makes travel arrangements. • Maintains adequate supply inventory; orders supplies as needed.

Job Requirements

  • High school diploma or GED required
  • One (1) year of experience in general office administrative duties or equivalent combination of education and experience required
  • Experience with an insurance company, broker or consultant preferred
  • Excellent oral and written communication, including presentation skills
  • PC literate, including Microsoft Office products
  • Analytical and interpretive skills
  • Strong organizational skills
  • Good interpersonal skills
  • Ability to work in a team environment

Role Description Le service financier (12 agents actuellement) se renforce et recrute un(e) gestionnaire pour assurer la gestion administrative et financière des contrats d'apprentissage, en lien avec les financeurs (OPCO : Opérateurs de Compétences), entreprises et les différents acteurs internes et externes, afin de garantir la conformité des dossiers et la fluidité des encaissements. Le/la futur(e) gestionnaire bénéficiera d’une formation interne aux outils de gestion (plateformes OPCO, logiciels métiers), ainsi que d’un accompagnement personnalisé pour faciliter sa prise de poste et s’approprier la règlementation en vigueur. Activités principales : - Gestion financière et facturation : - Établir la facturation des coûts pédagogiques et des frais annexes via le logiciel de gestion. - Transmettre les documents aux financeurs (OPCO, entreprises). - Générer les certificats de réalisation destinés aux partenaires. - Suivi des paiements : Enregistrer les éléments liés à la facturation et aux règlements dans les tableaux de suivi financiers. - Effectuer les relances pour le recouvrement des factures impayées via les portails financeurs. - Gérer les échéanciers de facturation dans le respect des délais imposés par les financeurs. - Suivi et communication avec les partenaires : - Assurer le suivi des dossiers avec les UFA (Unité de Formation par Apprentissage), OPCO et autres financeurs. - Relancer les partenaires pour la mise à jour et la conformité des informations. - Gérer les accords de prise en charge reçus (courriers, plateformes OPCO). - Générer les factures correspondantes aux prises en charge validées. - Gestion des anomalies et litiges : - Suivre les dossiers en anomalie et résoudre les litiges administratifs ou financiers. - Mettre à jour les dossiers sur les plateformes OPCO afin d’assurer leur conformité. Cette liste n’étant pas exhaustive, d’autres missions particulières définies par la direction ou le responsable hiérarchique pourront être confiées au titulaire du poste.
