The Work The Language Services Specialist supports the coordination and delivery of interpretation and translation services across client accounts. This role combines operations, resource management, and client coordination to ensure timely service delivery and strong client experience. The Language Services Specialist, in coordination with the Program Manager, plays a vital role in supporting the coordination, management, and oversight of all language services deliverables within the scope of the contract. This position ensures that language solutions are strategically integrated into project workflows and are delivered in a timely manner, within budgetary constraints, and in full compliance with client standards and requirements. The specialist assists in maintaining effective communication among the client, internal project teams, and subcontractors, thereby facilitating efficient resource allocation and supporting the achievement of program objectives. Responsibilities Key Responsibilities - Schedule and assign qualified interpreters and translators based on client needs and availability. - Support resource management, including screening and interviewing language professionals. - Serve as a point of contact for clients, providing updates, follow-ups, and issue resolution. - Maintain and update resource databases, ensuring accuracy of qualifications and availability. - Support daily operations and contribute to process improvements. - Support the coordination and scheduling of translation, interpretation, and localization activities across multiple projects. - Assist in managing language services workflows to ensure timely and accurate delivery of all contract deliverables. - Liaise with clients, internal teams, to clarify requirements, provide status updates, and address language-related inquiries. - Monitor progress of language services assignments, track deliverables, and report on performance against quality, timeliness, and compliance standards. - Communicate with clients and ensure they utilization of contract, maintain steady relationships and meet on client sites. - Invoicing and working with billing to invoice clients. - Assist in preparing regular reports, presentations, and briefings for contract management and client stakeholders. - Cultivate strong relationships with our existing clients while also driving new revenue growth. - Participate in team meetings and training sessions. - Other duties as assigned Qualifications Qualifications – Here’s What You Need - Bachelor’s degree or equivalent experience. - Minimum three (3) years of program or project management experience, with at least three (2) years in overseeing language services in a government contracting environment. - Experience supporting client relationships and identifying client needs (light business development exposure). - Proficiency in CRMs, Translation Project Management and Interpreter Scheduling tools. - Ability to manage multiple priorities in a fast-paced environment. - Ability to communicate in a clear, professional, and articulate manner. Desired Qualifications: - Previous client service or resource management experience in language services are a plus Reports to: Language Services Program Manager Working Conditions - Professional remote office environment. - Up to 20% travel required for onsite client visits locally or regionally. - Must be physically and mentally able to perform duties extended periods of time. - Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position. - Must be able to establish a productive and professional workspace. - Must be able to sit for long periods of time looking at computer screen. - May be asked to work a flexible schedule which may include holidays. - May be asked to travel for business or professional development purposes. - May be asked to work hours outside of normal business hours. • Serve as key voice for TMS • Define the product vision and roadmap for the TMS, aligning with overall business goals and user requirements • Understand market trends in translation technology and identify opportunities for innovation within the TMS • Set, prioritize, and accept work generated by cross-functional teams to ensure the most valuable implementation of the TMS • Solve product-related problems, make decisions, and complete trade-off analysis to stay on track towards deliverable commitments • Possess a fundamental understanding of end-to-end customer experience integration and dependencies • Establish and monitor functional KPIs to report results and determine future direction • Lead development and release management for digital initiatives • Collaborate with stakeholders, developers and project management during visioning and concept development of features while considering budget and resource constraints • Coordinate discovery meetings with stakeholders, technical leads, and other product managers to clarify concepts and develop functional requirements • Develop scope and define backlog items (capabilities/epics/user stories) that guide the development team using scrum & Agile methodologies • Coordinate functional and data dependencies with other digital product managers • Attend regular stand-up, grooming, and retrospective meetings • Regularly communicate progress of development to management and stakeholders • Participate in sprint testing to validate features and gather feedback for continuous improvement • Drive UAT test cases and defects to resolution, in coordination with development team • Represent team for release cutover, go-live and sign-off • Participate in stabilization to monitor status of defects and to move unresolved issues to backlog • Develop and maintain an appropriately prioritized backlog of user stories for implementation
