E-Billing Coordinator Buchanan Ingersoll & Rooney is a national law firm with a proven reputation for providing progressive, industry-leading legal, business, regulatory and government relations advice to our regional, national and international clients. We are currently recruiting for an E-Billing Coordinator in Philadelphia, PA. The primary duties of the E-Billing Coordinator are to track and monitor the submission and acceptance of e-billed invoices through eBillingHub and specific vendor sites. The E-Billing Coordinator assists Billing Coordinators as needed to help resolve submission issues, including appeals of rejections and reductions. Checks for new matters and rate approvals on vendor sites and works with the Billing team to ensure data integrity in Elite 3E. This position may be fully remote with the exception of occasional necessary trainings, meetings, or projects. Applicants must live within one hour commute time of office location. Key Responsibilities - Work with Billing Coordinators to submit invoices to vendor sites via eBillingHub in accordance with Outside Counsel Guidelines. - Track and monitor invoice submissions using eBillingHub. - Ensure invoice acceptance in vendor sites such as Legal Tracker, T360, and others. - Perform a first-level attempt to correct e-billing issues such as fixing block-billing and task codes, and resubmit any rejected invoices. - Monitor vendor sites for newly created matters and work with Billing team to set up matters in 3E. - Review vendor sites for timekeeper rate approvals and communicate rate adjustments to Billing and Pricing teams as necessary. - Assist the e-billing Supervisor in suggesting actions the Billing team might take in the future to avoid reductions and rejections of certain line items. - Other duties as assigned by the E-Billing Supervisor. Skills and Requirements - Associates Degree with emphasis in business or accounting, or equivalent work experience preferred. - Minimum 3 years prior experience with legal e-billing or other accounting functions desirable. - Experience in a law firm or other professional service environment a plus. - Familiarity with Elite 3E, Elite Enterprise or Aderant financial systems, in addition to eBillingHub or BillBlast, and major vendor sites such as T360, Legal Tracker and CounselLink. - Flexibility to work overtime and weekends, if needed. - Demonstrated proficiency with Microsoft Office, especially Excel and Word. - Ability to organize and prioritize workload. - Excellent communication skills, both written and verbal. - Why should you work at Buchanan? This position provides essential support for both the billing and accounting functions at Allegiance. For billing, responsibilities include gathering rate information to prepare monthly health group billing and premium statements, ensuring timely facilitation of fixed cost payments. The incumbent will also carry out general accounting duties, such as reporting, reconciliations, and data entry. Billing Responsibilities The Enrollment & Billing Representative prepares monthly health billing statements for client groups. Verifies the accuracy of enrollment information for each group billed. Compares and verifies the accuracy of billing rates to information contained in each groups’ ASA. Gathers data from brokers or marketing staff to set new, renewal, or revised group rates. Relays relevant renewal information to the appropriate Enrollment Specialist as it is accumulated. Prepare premium statements and check requests based on billing information. Compiles various spreadsheet reports pertaining to billing and rates as requested; creates invoices for special circumstances as required. Resolves problems by collaborating with Flex Bookkeepers, Enrollment Specialists, Accountants, marketing personnel, and brokers. Answers telephone calls and email questions from clients and brokers. Tests health billing functions for software updates. Contributes to the daily workflow with regular and punctual attendance. Ability to multi-task. Accounting Responsibilities The Enrollment & Billing Representative updates accounting reports and emails to Allegiance personnel. Completes monthly reporting for Flex Department in collaboration with Staff Accountants. - Minimum Education: High school graduation or GED required. - Minimum Experience: Experience with computers required; accounting or bookkeeping experience preferred.
