Case Manager – Pre-Litigation Legal Assistant
Zinda Law Group, PLLC
• Open new cases in the system and set up case for initial stages • Ensure medical records and investigation items are ordered • Assist clients with medical scheduling • Calendar deadlines and important dates • Draft correspondence • Assist with preparation of demands • Assist with event scheduling • Assist with pre-litigation event preparation • Organize and maintain legal files • Assist with office administration • Assist with potential client intake • Client communication and interaction to help answer questions and convey information about the case
Job Requirements
- Bachelor's degree, associate's degree, or paralegal certificate required
- 2-3 years of experience working in personal injury, immigration, family law or workers compensation
- Must be highly organized and proficient with technology
- Strong written and verbal communication
- Comfortable handling sensitive subject matter and content
- Excellent client service skills
- Ability and willingness to follow detailed processes and systems
- Bilingual in Spanish is a huge plus but not required.

Role Description We’re hiring a Licensing Team Lead to assist with Licensing team oversight and support the workflows that power how we license our national clinician workforce. The Licensing Team Lead will play a key role in supporting the Licensing Manager by providing day-to-day oversight of Licensing Specialists, ensuring high-quality, compliant, and timely processing of provider licensure applications for Physicians, PMHNPs, and Therapists. This role combines hands-on licensing work with leadership responsibilities, including quality assurance audits, workflow support, and team guidance. You will: - Team Leadership & Oversight - Provide functional oversight and daily support to Licensing Specialists, including workload coordination and prioritization. - Serve as an escalation point for complex licensing issues and state regulatory questions. - Support onboarding and training of new Licensing Specialists, reinforcing best practices and standard workflows. - Act as a resource and mentor to team members, promoting accuracy, accountability, and professional development. - Licensing Operations - Process and manage provider license applications and verifications across multiple states for Physicians, PMHNPs, and Therapists. - Ensure licensing workflows align with applicable state regulations, telehealth requirements, and internal policies. - Maintain accurate and complete documentation in licensing systems and provider files. - Quality Assurance & Compliance - Assist Manager with weekly quality assurance audits of licensing files to ensure accuracy, completeness, and regulatory compliance. - Identify trends, errors, or process gaps and recommend corrective actions or process improvements. - Partner with the Licensing Manager to develop, refine, and maintain QA standards, audit tools, and SOPs. - Collaboration & Reporting - Support the Licensing Manager with reporting, metrics tracking, and operational insights. - Collaborate cross-functionally with Credentialing, Enrollment, Clinical Operations, Compliance, and HR as needed. - Assist in developing and implementing process improvements to support scale and efficiency. Qualifications - 3+ years of provider licensing experience, preferably in healthcare, behavioral health, or telehealth. - Demonstrated knowledge of multi-state provider licensing requirements for Physicians, PMHNPs, and Therapists. - Demonstrated knowledge of DEA and CSR/CDS licensing requirements. - Direct experience with licensing platforms such as Verifiable, Medallion, or similar tools. - Experience reviewing work for quality and compliance. - Strong attention to detail and organizational skills. - Ability to manage competing priorities in a fast-paced, high-volume environment. Requirements - Prior experience in a team lead, senior specialist, or informal supervisory role. - Experience with psychiatric or behavioral health provider licensing. - Familiarity with credentialing and regulatory standards (e.g., NCQA, URAC). - Experience working in a telehealth or remote-first organization.
