Role Description The Prior Learning Credit Evaluator is responsible for the comprehensive evaluation of prior learning for undergraduate, graduate, and doctoral students. This position supports student success by assessing learning acquired through various pathways to determine eligibility for academic credit in accordance with institutional policies, accreditation standards, faculty approval, and degree requirements. - Process prior learning applications and assign to subject matter experts through approved assessment methods, including portfolios, interviews, military education and training, industry certifications, professional licensure, examinations, workforce training, and other recognized learning experiences. - Assist students in providing documentation supporting prior learning credit requests, including portfolios, certifications, training records, military transcripts, licensure, and other evidence of college-level learning. - Communicate PLA credit decisions to students once established. - Apply institutional policies, accreditation standards, and faculty-approved guidelines to ensure consistent and equitable evaluation of prior learning and residency requirements. - Recommend academic credit that recognizes demonstrated college-level learning while maintaining academic integrity and institutional quality standards. - Maintain accurate records of prior learning evaluations, credit recommendations, and supporting documentation within the student information system and related databases. - Ensure compliance with university record-retention policies, FERPA regulations, accreditation standards, and applicable state and federal requirements. - Monitor evaluation workflows to ensure timely processing and communication of prior learning decisions. - Serve as a resource for students, faculty, staff, and external partners regarding Prior Learning Assessment policies, procedures, and evaluation outcomes. - Collaborate with academic departments and faculty to support consistent evaluation practices and the development of prior learning opportunities. - Assist in developing educational resources, training materials, and communication strategies that increase awareness and understanding of Prior Learning Assessment opportunities. - Support the Prior Learning Coordinator with the administration, implementation, and continuous improvement of the university's Prior Learning Assessment program. - Assist the Prior Learning Coordinator with special projects, reporting, workflow management, and other initiatives that advance the institution's prior learning strategy. Qualifications - Bachelor's degree from an accredited institution. - Three or more years of professional experience in higher education, preferably in Prior Learning Assessment, transfer credit evaluation, registrar services, academic advising, student records, admissions, enrollment management, or adult learner services. - Experience interpreting learning outcomes, academic policies, degree requirements, and documentation supporting college-level learning. - Strong analytical, organizational, critical thinking, and problem-solving skills. - Excellent written, verbal, and interpersonal communication skills. - Ability to manage multiple priorities while maintaining a high level of accuracy, consistency, and confidentiality. - Proficiency with student information systems, database applications, and Microsoft Office products. Role Description The Transfer Credit Evaluator is responsible for the comprehensive evaluation of transfer coursework and non-traditional learning credits for undergraduate, graduate, and doctoral students. This position supports student success by ensuring accurate, timely, and consistent transfer credit decisions that align with institutional policies, accreditation standards, and degree requirements. - Evaluate official and unofficial transcripts and supporting academic documentation from accredited institutions for transferability and degree applicability. - Determine course equivalencies and transfer credit awards in accordance with university policies, accreditation requirements, and established articulation agreements. - Review and process non-traditional credit sources, including Advanced Placement (AP), CLEP, DSST, military education and training, prior learning assessment, certifications, and other approved learning experiences. - Analyze course descriptions, syllabi, catalogs, and institutional accreditation information to determine appropriate transfer credit recommendations. - Evaluate international academic credentials in accordance with university guidelines and approved evaluation resources. - Maintain accurate transfer credit records within the student information system, articulation management platform, and related databases. - Create, update, and manage course equivalencies and institutional transfer guides. - Ensure compliance with university record-retention policies, FERPA regulations, and accreditation standards. - Monitor evaluation workflows to ensure timely processing and communication of transfer credit decisions. - Serve as a primary resource for students, faculty, staff, and external partners regarding transfer credit policies, procedures, and evaluation outcomes. - Partner with Admissions and Enrollment teams to support prospective transfer students throughout the admissions process. - Collaborate with academic departments to establish and maintain transfer equivalencies and articulation agreements. - Communicate transfer credit decisions clearly and professionally to students and university stakeholders. - Assist in the development of transfer credit resources, training materials, and communication strategies that improve the student experience. - Participate in the review and enhancement of transfer credit policies, procedures, and business processes. - Stay informed of best practices, accreditation requirements, state regulations, and emerging trends related to transfer credit and prior learning assessment. - Generate reports and provide data to support enrollment management, compliance reviews, and institutional planning. - Participate in departmental meetings, professional development activities, and university committees as assigned. The Transcript Credit Evaluator will provide high quality customer assistance and support to the University with operational tasks as directed. The primary role of the Transcript Credit Evaluator is to implement the admissions requirements and academic policies and philosophies related to providing, recording and reporting student credit. The Transcript Credit Evaluator must possess a strong understanding of curriculum and common course numbering, along with articulation agreements in place with University of the Cumberlands to accurately evaluate student academic documents. The Transcript Credit Evaluator is responsible for the independent review, evaluation, and determination of course equivalencies for traditional and non-traditional credit experiences for prospective, matriculated, and currently enrolled students. The Transcript Credit Evaluator utilizes independent professional judgment based on broad knowledge of University academic policies to process requests, devise solutions, and provide direction for students, parents, faculty, and administrative staff on issues related to the transfer and applicability of academic credit. They will act as a liaison for the Records and Registration department and respond to transfer credit-related questions and issues in a professional manner, as well as coordinate responses and/or direct communications to appropriate campus partners, as necessary. They will exercise autonomy and sound decision making in analyzing issues, developing solutions, and providing direction to all constituencies regarding resolution. Job Duties: - Coordinate the transfer credit evaluation process by evaluating courses completed at regionally and nationally accredited colleges and universities. - Facilitate and process course substitutions completed at regionally and nationally accredited colleges and universities. - Evaluate credit from several sources such as AP, CLEP, DSST, military credit and other non-traditional learning environments in accordance with university policy. Research and gather additional information from faculty and other colleges as necessary to analyze and verify complex transfer credit cases. - Collaborate with professional staff members on the retrieval and imaging of incoming documents in support of the transfer process. - Maintain accurate record of transfer equivalents in the articulation database and college ERP and any applicable specialized software. Continue to assess current processes and recommend changes, as needed. - Assist with the development and maintenance of a comprehensive communication plan for transfer students. - Effectively communicate with Admissions and Academic Affairs to facilitate the evaluation process for transfer credits that require input and approval. This includes, but is not limited to, serving as a resource to various university constituents. - Ability to answer questions from internal and external partners and understand the interconnectivity between departments relating to transfer students. - Maintain transfer@ucumberlands.edu email account. - Understanding of general institutional record keeping policies. - Participate in committees and meetings as needed. - Perform other duties and responsibilities as assigned.
