Title: Marketing & Business Development Manager Location: Remote Job Description: Our growing boutique law firm is seeking talented professionals to join our team, committed to building a strong, predictable, and measurable client acquisition system. We are seeking a dedicated Marketing & Business Development Manager to own and execute the firm’s marketing strategy, vendor relationships, and performance tracking infrastructure. This is a high-accountability role where marketing is directly tied to intake quality, lead conversion, and firm growth. This role is open to candidates based in the United States only. Applicants outside the U.S. will not be considered. This is not a content-only or social media role. You will be responsible for building and managing a full-funnel marketing system, including: - Lead generation - Intake alignment - Vendor performance - CRM accuracy - ROI tracking - Business development activities You will work directly with firm leadership to ensure marketing activity translates into qualified consultations and retained clients. Responsibilities Marketing Strategy & Execution - Develop and execute a multi-channel marketing strategy (digital, print, referral, events) - Define KPIs for each marketing channel tied to lead quality and intake performance - Manage external marketing vendors and hold them accountable to results - Approve and coordinate marketing materials across digital, print, and social platforms - Maintain a focused, ROI-driven content approach Performance Tracking, CRM & Analytics - Own weekly marketing KPI reporting across all channels - Maintain and ensure accuracy of CRM data (leads, intake, consultations, referrals) - Track and analyze marketing performance from lead → intake → conversion - Ensure proper attribution of all marketing sources in reporting systems - Monitor ROI and adjust strategy based on performance data Intake & Revenue Alignment - Partner with intake/sales processes to ensure lead quality is properly evaluated - Review call and intake performance data to identify breakdowns in conversion flow - Collaborate with leadership to improve lead conversion rates - Ensure marketing efforts directly support revenue generation goals Business Development & Community Outreach - Plan and execute seminars, webinars, and educational events - Identify and attend networking opportunities and industry events - Build and maintain referral relationships (CPAs, professionals, community partners) - Support attorney-led presentations and business development initiatives Marketing Operations & Vendors - Manage marketing vendors across SEO, PPC, design, and digital campaigns - Oversee budgets and ensure spend aligns with performance outcomes - Coordinate website updates and campaign execution with vendors or internal tools - Identify opportunities to improve systems, tools, and marketing efficiency Qualifications Required 5+ years of experience in at least one or more of the following areas: - SEM, SEO, PPC campaign management (Google Ads experience strongly preferred; Google Ads certification a plus) - Website optimization and performance improvements (conversion-focused) - Keyword research and competitive analysis - End-to-end event coordination (planning, promotion, execution, and follow-up) - Marketing execution across digital channels (not just strategy or oversight) Hands-on experience with CRM systems, including: - Data entry and maintenance - Lead source attribution - Pipeline tracking and reporting - Experience with marketing analytics and attribution tools, including Google Analytics (or similar platforms) - Marketing performance tracking and reporting dashboards - Ability to connect marketing activity to leads and conversions Preferred - Education and/or work experience equivalent to a bachelor’s degree (Marketing, Communications, Business, Legal Studies, or related field preferred but not required) - Prior law firm or professional services experience - Experience in estate planning, probate, litigation, personal injury, or similar practice areas - Experience with intake processes, call tracking, or lead conversion funnels - Experience working within regulated or compliance-driven environments, with a clear understanding of: Professional boundaries, including an understanding of Florida Bar rules surrounding marketing and client acquisition. The ideal candidate will have a minimum of 2 years of experience with probate, estate planning, and guardianship matters. Experience with litigation is a plus. Although our firm is based in Coral Gables, Florida, this position is fully remote. - Support attorneys in taking estate administrations from open to close - Draft Estate Planning documents and support Attorney from start to finish - Prepare and draft letters, court documents, discovery, and responses to discovery demands and reports for attorney review - Meet with clients to review discovery responses - Help attorneys prepare cases for hearings - Assist attorneys in the courtroom and meetings - Conduct thorough legal research into new and novel issues, verifying case law, and reviewing legislation - Keep clients updated on case progress and gather necessary information - Assist attorneys in preparing for meetings and hearings - Attend weekly case management conferences and update case records - Backup tasks including: e-filing checks, answering calls, scheduling if needed - Enter time and billing records accurately and in a timely manner - Perform additional tasks as assigned Qualifications - Minimum 2 years of experience in Florida probate, estate planning, and/or guardianship - High school diploma required; advanced training at a college or university preferred - Strong experience with Clio Manage, Filevine, LeadDocket, WealthCounsel, or similar document-building and case management software - Experience with Google Workspace (Mail, Drive, Calendar) preferred but not required - Ability to type 70–100 WPM - Excellent oral and written communication skills - Strong organizational skills, attention to detail, and time management skills - Paralegal professional certification or advanced paralegal education preferred - Experience with estate planning, probate administration, and guardianship cases required - Litigation experience is a plus

This is a key role within the firm, ideal for an attorney who enjoys both resolving complex probate or trust disputes, guardianship procedures, partitions, and strategic estate planning. This position involves trials, evidentiary hearings, discovery, and mediation as part of the litigation process. We are looking for someone who is analytical, organized, and client-focused, with the ability to guide families through both planning and litigation matters with professionalism and empathy. The ideal candidate is collaborative, tech-savvy, and comfortable working in a modern, paperless environment. You will work closely with the Operations Manager, legal team, and support staff to ensure high-quality service and excellent client outcomes. Although our firm is based in Coral Gables, Florida, this position is fully remote. Compensation- $150,000 and $200,000 (depending on experience and location), along with performance bonuses. - Manage probate and estate administration cases from start to finish - Handle probate and trust litigation, including contested estates, fiduciary disputes, partitions, guardianships, and creditor claims - Lead and oversee estate planning matters, including trusts, wills, and advanced planning strategies - Draft and review pleadings, motions, discovery, and legal correspondence - Represent clients in hearings, mediations, depositions, trials, evidential hearings, and other court proceedings - Analyze complex client situations and develop strategic legal solutions - Guide clients through trust funding and asset alignment with estate plans - Maintain and organize client files while ensuring compliance with deadlines - Conduct client consultations to evaluate their needs and determine if and how the firm can assist them - Enter time and billing records accurately and in a timely manner - Delegate and supervise work assigned to paralegals and legal staff - Monitor case progress and ensure milestones and deadlines are met - Collaborate with the Operations Team to improve firm systems and workflows - Participate in business development and community engagement activities Qualifications - 3+ years of experience practicing probate, estate planning, and probate litigation, or experience with the State Attorney’s Office prosecuting civil theft and exploitation of the elderly - An active Florida Bar license is required - Experience serving as first chair in at least one jury trial or evidentiary hearing through completion - Strong communication and interpersonal skills, especially with clients navigating emotional situations - Experience appearing in court hearings and handling litigation procedures - Highly organized, with strong analytical and problem-solving abilities - Comfortable working with legal technology and case management systems - Ability to work both independently and collaboratively in a remote environment
