ESSENTIAL JOB DUTIES AND RESPONSIBILITIES: Executive Support to SVP, Lifestyle Leasing - 75% - Serve as an integrated and integral partner by assisting SVP with high touch executive support, project management, and development of key initiatives, goals and action items. - Attend high level confidential meetings: document notes and distribute action items to responsible parties and conduct consistent follow-up to ensure completion of action items in a timely manner. - Work closely and effectively with the EA to the CRO to keep the Leasing Leadership team well informed of upcoming deadlines, deliverables, commitments, and responsibilities, following up appropriately. - Act as the liaison for the business functions reporting to the SVP to ensure all critical needs are met while helping to prioritize time and attention to the most urgent matters and actively re-prioritizing the SVP’s time daily. - Manage, prioritize, and maintain extremely active and often complex and changing, daily schedules for the SVP; ensuring all relevant agendas and meeting materials completed prior to the meetings and are attached to meeting invitations. - Communicate and project manage multi-departmental tasks - Create custom decks for meetings and presentations for the SVP and their direct reports. - Plan, coordinate, and manage logistics for tenant tours, market visits, annual team meetings and ICSC events. ESSENTIAL JOB DUTIES AND RESPONSIBILITIES: - Under guidance of AVP, Tenant Coordination, direct the remodel and interior construction of assigned stores in accordance with approved budgets and lease obligations. - Provide support to Leasing in the timely processing and resolution of tenant space planning issues, design packages, landlord work recommendations and approval of tenant scope of work. - Maintain consistent and thorough communication with tenants, property management and leasing team to ensure that all parties are properly informed of scheduled turn-over dates, relevant scope of work and budget status. - Under guidance of AVP, Tenant Coordination, select qualified construction and design vendors through a competitive bidding process. - Manage the preparation of construction drawings and securing of all permits related to landlord work. - Prepare budgets in accordance with approved scope of work for interior build-outs. - Manage the landlord drawing review and approval process with respect to tenant plans. - Contribute to department goals of early store opening dollar revenue, landlord work expenditure, plan review durations, and other goals as determined by management.
