Role Description The Project Coordinator of our remote office will be responsible for assisting the Project Managers and Project Engineers with coordinating data and paperwork in support of the successful completion of the project, as well as other office administration duties. - Support Rancho Project Managers and Estimators as needed for the successful completion of their work scope. - Collaborate with the IT department as needed to support the PM’s and Estimators. - Partner with the Warehouse regarding any tools or equipment that may have been moved to or may be stored in the Rancho warehouse space. - Confer with inter-departmental personnel and field forces, representatives of agencies, engineering firms, contractors, developers, manufacturers, and distributors, regarding utility service, supply, or project-related issues. - Provide internal Project Management / Engineering coordination on design-build projects. - Assist in the review of project plans and specifications for completeness and accuracy as requested. - Process Baker Electric field-generated change order requests (Extra Work Order tickets). Review for completeness and accuracy. Assist with pricing these requests and coordinate with the Project Manager on customer processing. - Review supplier and subcontractor submittals and shop drawings for conformance to project documents and manage the submittal process, ensuring project deadlines are adhered to. - Coordinate with suppliers and subcontractors, ensuring submittals are complete and correct before forwarding. - Monitor and order office supplies, such as printer ink, personnel desk supplies, break room stock, and kitchen supplies for the Rancho office. - Coordinate all facility maintenance, testing, and repairs through collaboration with the Director of Procurement. - Monitor and track the seating chart as required, including coordination with the Escondido office for station equipment or lack thereof. - Provide feedback to leadership on cleaning crew efforts to ensure that all facilities are properly maintained and in clean order. - Coordinate and facilitate key code access, as well as handling of keys for Rancho staff. - Arrange and integrate project documents and addendums creating a complete set of documents. - Create panel schedules based on information from project foremen. - Oversee subcontractor/major material purchase orders throughout the project’s duration. - Communicate with Foreman, Project Manager, and warehouse the status of this material. - Complete permit application and process with the appropriate agency and notify all concerned of the permit number and process copies within the company as required. - Ensure the foreman receives a copy of each RFI and periodically forward an updated log to the Foreman. Review the log and flag items that are outstanding or unanswered. - Responsible for project close-out procedures. Facilitate the gathering, assembly, and completion of the Operation and Maintenance Manuals. - Assist in quantity surveys of electrical drawings in preparation for bids. - Schedule estimate kickoffs and estimate reviews. - Generate RFQs for vendors and subcontractors. - Follow up with vendors and subcontractors to ensure proper coverage on bid day. Qualifications - High school diploma or general education degree (GED) required. - 1-3 years of administrative, project coordination, and/or relevant construction coordination experience. - Proficiency in MS Office: Excel, Word, Outlook. - Proficiency in Bluebeam, ConstructJob, MS Project, or other related Construction Management is a plus. - Spectrum program, or equivalent project/accounting software, is a plus. - Familiarity with Salesforce and SharePoint/Office 365 is a plus.
