Role Description The Operations Support Coordinator serves as the first point of contact for internal employee support across office, sales, and warehouse environments. This role is responsible for helping employees resolve day-to-day operational issues, including system questions, device troubleshooting, and process support. This position is focused on ownership and follow-through—ensuring issues are addressed efficiently and employees feel supported so operations can continue to run smoothly. Essential Duties and Responsibilities: - Internal Customer Support - Serve as the first point of contact for employee support requests via phone, email, or ticketing system. - Provide responsive, professional support to office staff, sales teams, and warehouse employees. - Take ownership of support requests from intake through resolution, ensuring timely follow-up. - System & Application Support - Provide first-line support for Prophet 21 (P21), assisting users with common tasks and basic troubleshooting. - Support questions related to business systems and processes. - Create simple guides or instructions to address recurring questions. - Technical & Device Support - Troubleshoot basic issues with computers, printers, scanners, mobile devices, and related applications. - Assist with setup of new users, devices, and basic system access. - Coordinate with internal IT or external vendors for escalated technical issues. - Issue Tracking & Resolution - Accurately document support requests and resolutions in the ticketing system. - Track open issues and ensure timely follow-up and closure. - Communicate clearly with employees regarding status, timelines, and next steps. - Collaboration & Coordination - Partner with internal teams to resolve issues impacting operations. - Understand business priorities and respond with appropriate urgency. - Contribute to a team-oriented, service-focused support environment. Qualifications - High School Diploma or equivalent required. - Associate’s degree or relevant technical training preferred. - 1–3 years of experience in customer support, operations support, help desk, or a related role. - Strong customer service mindset with a focus on responsiveness and follow-through. - Clear and effective communication skills, both written and verbal. - Ability to troubleshoot basic technical and system-related issues. - Strong problem-solving skills with a logical and curious approach. - Ability to manage multiple requests and prioritize effectively in a fast-paced environment. - Comfortable working with non-technical users and explaining solutions in simple terms. - Basic proficiency with Microsoft Office and general business systems. - Ability to learn new systems and tools, including ERP systems such as Prophet 21. Requirements - Experience with Prophet 21 (P21) or similar ERP systems preferred. - Experience supporting warehouse or operational environments preferred. - Familiarity with ticketing systems or help desk tools preferred. All job functions and responsibilities should be met and completed while observing the principles stated in our Stellar mission statement while aligning with company culture and values. *This is a fully remote position. There is no requirement to report into a physical facility, but you are encouraged to do so on occasion to meet with fellow team members in the general Pittsburgh area. To be eligible for this position you must be able to work in the Central/Eastern Time zone. Primary responsibilities and expectations: More specifically, it is the responsibility of the Replenishment Analyst to: Take action as the vital point of contact for new and existing customers in replenishment and ordering efforts across multiple categories. Accurately and efficiently analyze product usage reports to manage inventory levels according to service level expectations and place orders accordingly. Address all customers and suppliers in a professional, courteous manner with a positive attitude and active listening to ensure a positive Stellar Customer Experience. Analyze our distribution center inventory levels for products pertaining to end users across the company and provide actionable insights. Ensure that our customers receive the correct product at the correct price within the timeframe outlined by proactively resolving issues within the supply chain. Follow established processes to ensure quality Stellar Customer Experience results. Understand Stellar-Supplier partnerships and how to best engage with them to ensure exceptional customer service to our customers. Work, communicate, and collaborate effectively as part of your Industrial Supply Team and all internal stakeholders, including Sourcing, Commercial, Accounts Payable and Site Support counterparts. Engage in continual learning of all Stellar service and product offerings by attending scheduled training sessions and self-guided research. Participate in team and company projects to drive Stellar efficiency gains. Understand and adhere to company policies and procedures.
