Role Description The Presentation Specialist is responsible for creating visually compelling, professional, and brand-aligned PowerPoint presentations for internal and external use with advanced proficiency in Microsoft PowerPoint, Word, and Excel. - Design and execute high-impact visual presentations for internal and external clients that demonstrate the efficacy of a specific business offering and/or target audience, utilizing Microsoft PowerPoint on a Windows platform. - Liaise with internal teams throughout the creative/production process, maintain confidentiality of various forms of information from multiple sources, review data for accuracy, and propose solutions. - Provide project status updates and adjust deliverables as required. - Translate high-level, complex data with a focus on financial data and legal concepts, interpret information, and convey key points through illustration or information graphics. - Provide extensive formatting and project editing support in accordance with the Firm’s corporate branding policies and guidelines. - Create and revise legal documents to the Firm’s specifications using the latest software and version of Microsoft Office. - Ensure all information is accurate and instructions are carried out correctly. - Perform ad hoc projects and assignments as assigned. - Must be available to work flexible hours. - Perform other duties as assigned. Qualifications - Associate’s degree or 2+ years professional production experience (Bachelor’s degree preferred). - Microsoft Certification and Presentation Coursework preferred. Requirements - At least 3-5 years of experience providing creative design support, with law firm and/or financial services presentation experience. - Excellent interpersonal, verbal, and written communication skills. - Technically proficient in the PC environment. - Strong proficiency in Microsoft Office, PowerPoint (Expert Level), Excel, Adobe, and Visio. - MS Word proficiency in converting and formatting documents to/from different software packages, creating and revising documents to Firm’s specifications. - MS Excel proficiency in creating graphics, formulas, and all aspects of formatting. - MS PowerPoint proficiency in slide presentation creation, tables, charts, including structure charts and org charts. - Ability to provide concept development, design, and execution through illustration of visual materials. - Ability to work with complex formulas in Excel and graphics manipulation in PowerPoint. - Demonstrated ability to use discretion and maintain confidentiality of information. - Acute attention to detail with emphasis on accuracy and quality. - Ability to prioritize and balance multiple projects effectively in a high-volume, fast-paced, and deadline-driven environment with minimal supervision. Benefits - NY Only: The estimated base salary range for this position is $90,000 to $105,000 at the time of posting. - The actual salary offered will depend on various factors, including qualifications, years of relevant experience, level of education attained, certifications, or other professional licenses held, and location. - This role is non-exempt, meaning it is overtime pay eligible.

Role Description The Word Processing Supervisor works directly with and supports management and is responsible for assessing and coordinating work requests and assigning work items to all team members and other internal administrative departments as appropriate. The open shift schedule is for Monday through Friday, 12am-8am ET. - Serve as one of the Word Processing’s primary contacts providing guidance to attorneys regarding administrative requests while projecting confidence and competence to facilitate the coordination and completion of work requests and assignment of resources. - Work with the Senior Manager and the Manager to evaluate, prioritize and assign incoming work requests to Word Processing team members and enlist support from other administrative departments as required. - Meet with attorneys to plan support of special assignments and requirements; assign and dispatch work to appropriate personnel. Respond to attorney inquiries regarding status of work requests; assess requests and coordinate support in order to meet deadlines; provide attorneys with status updates by phone or email. - Support management with the coordination and monitoring of workflows, team schedules and breaks, manage workflow queues, maintain accurate logs of all incoming and completed work (ServiceNow). - Monitor active jobs, perform quality-control on completed jobs and review work product for accuracy prior to finalizing and responding to attorney inquiries regarding status. - Prioritize department’s workload by evaluating urgency, potential impact and implications; coordinate with management, attorneys and department staff to ensure deadlines are met. - Participate in the work of non-supervisory team members to facilitate productivity or to overcome difficult aspects of work. - Research and troubleshoot work orders and provide feedback to the Resource Center Senior Manager or Word Processing Manager as required. - Provide administrative support to management with detailed recordkeeping and report generation; including preparation of shift turnover reports as needed (included in ServiceNow). - Review, assess and perform document creation/modification; assign them accordingly. - Arrange Word Processing conference calls, video meeting, and meeting logistics. - Coordinate with the Back Desk to prepare internal distributions and FedEx, UPS, or courier shipments; deploy messengers, taxis, or hand delivery when required. - Assess and plan training needs, evaluate job performance, conduct annual performance reviews, maintain all employee records and refer team members to the manager or senior manager for coaching and/or disciplinary discussions, as necessary. - Assess staffing requirements for the following shift and arrange additional coverage as necessary (temp/staff), including holiday coverage. - Maintain day-to-day operations and ensure a clean, organized center with adequate inventory of supplies, software and equipment. - Work flexible schedule as required. - Perform other duties as assigned. Qualifications - Required: High school diploma or GED. - Preferred: Bachelor’s degree, Notary certification. Requirements - Required: 2-4 years of relevant experience in a center-based environment. - Excellent interpersonal skills and a commitment to teamwork, collaboration, and professionalism. - Ability to effectively lead, motivate and encourage Word Processing team members. - Superior customer service skills, with a view toward building relationships with internal clients, other administrative staff, and Word Processing team members to achieve results. - Ability to oversee the workflows of multiple professionals, providing assistance and support where required. - Ability to prioritize, plan work activities and meet competing deadlines in a fast-paced, deadline-driven environment. - Ability to clearly present information verbally and in writing. - Ability to follow complex oral and written instructions. - Outstanding telephone skills and etiquette. - Advanced Knowledge of MS Office Suite. - Basic math skills: addition, subtraction, multiplication, and division. - Strong attention to detail and a commitment to providing excellent work product. - Strong analytical and problem-solving skills. - Commitment to discretion when working with sensitive and confidential information. - Client focused with the ability to quickly develop organizational astuteness and produce work within the attorneys’ and clients’ parameters and in support of the Firm’s guidelines and corporate branding. - Preferred: Knowledge of Adobe products, iManage, Numbering Assistant, DocXtools, and Litera; Experience in a large law firm. Benefits - NY Only: The estimated base salary range for this position is $115,000 to $130,000 at the time of posting. - The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. - This role is exempt meaning it is not overtime pay eligible.
