Role Description The Contract Coordinator Lead supports contract administration and logistics coordination while ensuring compliance, data accuracy, and timely reporting. This role plays a key part in streamlining operations, resolving contract and delivery issues, and providing guidance and support to the broader contracts team to ensure consistency and efficiency. - Execute contract administration processes, including contract entry, finalization, price updates, and timely communication of relevant details to internal and external stakeholders. - Review and execute contracts, including purchase contract pricing and position updates. - Ensure accuracy and completeness of all contract data within internal systems. - Resolve contract and delivery issues by coordinating with consumers, suppliers, and internal stakeholders; escalate to management as appropriate. - Support delivered load scheduling to ensure timely and efficient fulfillment of contract terms. - Ensure all contract activities comply with legal, regulatory requirements, and company policies and procedures. - Maintain high standards of data integrity and accuracy across all systems and reporting. - Generate and distribute regular reports on contract status, logistics activities, and key operational metrics. - Partner with accounting to monitor customer credit status and support reporting needs for internal teams. - Partner with administration, logistics, commercial, and accounting teams to improve operational efficiency and enhance knowledge sharing. - Train with commercial teammates to build understanding of materials, pricing strategies, and the impact of contracts on overall business performance. - Provide day-to-day support and guidance to team members to ensure consistency in processes and execution. - Maintain visibility of team workload and collaborate to ensure balanced distribution, coverage during absences, and seamless customer service. - Share best practices and assist in onboarding or training of new team members. - Adopt a mindful approach to travel and expenses, balancing business needs with fiscal responsibility. - Travel up to 20% as needed. - Perform additional duties and special projects as assigned. Qualifications - Bachelor’s degree in Business, Supply Chain, or related field and minimum of 5 years of experience in contract management, logistics coordination, customer service-related experience and/or training. - Or 10+ years of experience in contract management, logistics coordination, customer service-related experience and/or training. Requirements - Ability to research, collect and track data. - Accurate data entry, price updating, and report generation. - Routinely switch between routine tasks. - Ability to identify, address, and resolve contract and logistics discrepancies efficiently. - Clear and professional verbal and written communication with internal teams, customers, and external partners. - Ability to work cross-functionally with administration, logistics, finance, and customer service teams. - Routinely work independently. - Understanding of credit monitoring and AP/AR reporting. - Skilled in Excel, Shared Logic, Crystal Reports, Salesforce, Shared Logic (RIMAS), Access Database, Microsoft Suite software and other systems. - Knowledge of legal, regulatory, and company standards related to contract and logistics activities. - Ability to prioritize tasks to achieve highest productivity while maintaining work quality. - Ability to manage multiple priorities and meet deadlines.
