The Virtual RCM Implementation Specialist will oversee the revenue cycle management aspects of dental practice migrations to the company’s preferred Practice Management Systems (PMS). This role partners closely with the migration team to ensure seamless transitions of RCM workflows, minimize disruptions to operations, and provide remote training and support to office teams nationwide. This role is fully remote; however, candidates must be able to support occasional extended hours and weekend work during practice go-live and migration events. The ideal candidate will have hands-on experience in dental revenue cycle management, particularly with Cloud 9 and Denticon, and a strong background in virtual training, SOP development, and remote implementation support. Responsibilities - Pre-Migration RCM Oversight - Conduct comprehensive remote assessments of RCM data prior to migration to ensure accuracy and completeness. - Identify and resolve potential issues related to patient balances, insurance claims, contracts, and data mapping. - Collaborate with migration teams to ensure all revenue cycle workflows transition successfully into the new PMS. - Participate in migration planning meetings and provide RCM guidance throughout the conversion process. - Virtual Training & Implementation Support - Serve as the primary virtual RCM trainer for office teams during and after migrations, including but not limited to: - Insurance eligibility verification - Contract creation and management - Collecting and posting co-payments - Insurance claim submission and tracking - Patient and insurance accounts receivable (AR) best practices - Payment posting workflows - End-of-day reconciliation processes - Lead live virtual training sessions and follow-up support meetings tailored to each office’s operational needs. - Provide ongoing remote support to offices post-go-live to ensure successful adoption and workflow optimization. - Support offices during go-live weekends as needed to ensure operational success and issue resolution. - Standard Operating Procedures & Best Practices - Develop, maintain, and update SOPs related to RCM workflows and PMS functionality. - Create virtual training resources, guides, and workflow documentation. - Ensure office teams follow RCM best practices to support compliance, operational efficiency, and optimal cash flow. - Assist with standardization of workflows across supported practices. - Collaboration & Continuous Improvement - Partner cross-functionally with IT, Operations, Training, and RCM teams to resolve post-migration challenges. - Gather feedback from offices and leadership teams to improve workflows, training materials, and implementation processes. - Monitor post-conversion RCM performance metrics and recommend operational improvements. - Support ongoing optimization initiatives related to automation, claims management, and AR workflows. Role Description The Orthodontic Billing Coordinator is responsible for accurately and efficiently posting insurance payments, adjustments, and denials to patient accounts across multiple practice management systems. This position plays a key role in maintaining the integrity of financial data and ensuring timely reconciliation of insurance remittances. The initial focus will be on Orthodontic, with potential to expand into Pediatric or other service lines as business needs evolve. - Proficiency in computer software, including dental practice management systems. - Proper posting of patient and insurance payments. - Knowledge when taken required adjustments on insurance payments. - Accurate notation of patient accounts. - AR reports worked diligently and routinely. - Ensuring timely filing of all claims. - Providing necessary information and documentation requested by insurance companies for claim payment. - Accurate billing, queueing of patient statements regarding unpaid balances, and completing collections process if necessary. - Payor website utilization. - Sending corrected insurance claims and processing refunds when necessary. - Reviewing insurance denials and actively working accounts for payment. - Reconciles monthly bank deposit spreadsheet. - Maintain a clean, sterile, and patient-centric working environment. - Maintain strict compliance with State, Federal, and other regulations (e.g., OSHA, WC, Dental Board, HIPAA, ADA, DOL, Employee Handbook). Qualifications - 2+ years of dental or medical insurance posting experience required; orthodontic posting experience strongly preferred. - Systems: Experience with Cloud9, Denticon, OrthoFi, or similar PMS platforms. - Strong understanding of insurance EOBs/ERAs, coordination of benefits, and adjustment codes. - Exceptional attention to detail and accuracy. - Proficient in Microsoft Excel and other data tools. - Ability to work independently and meet posting deadlines in a fast-paced environment. - Excellent communication and organizational skills. Position Summary The RCM Project Specialist is a key member of the Revenue Cycle Management (RCM) team responsible for overseeing and executing special projects related to RCM clean-up, legacy account audits, system migrations, and complex claims resolution. This individual will play a hands-on role in office transitions—such as TIN changes, system migrations, or acquisition integrations—by identifying claims or balances that require corrective action and following through to completion. In addition to project work, the RCM Project Specialist will assist with ticket resolution and general billing responsibilities, ensuring consistency and accuracy across all processes. This role requires a strong background in dental billing, excellent problem-solving skills, and the ability to work collaboratively across departments. Responsibilities - Execute assigned RCM projects including but not limited to: TIN change claim corrections, mass insurance plan reattachments, ledger clean-up audits, and balance reconciliation. - Identify and track accounts impacted by migration errors or structural changes in the PMS or payor setup. - Submit corrected claims with proper documentation and follow up to ensure payment is received. - Partner with the Implementation and Payer Relations teams during migrations to provide RCM-related cleanup support. - Respond to ticket inquiries and assist with escalated billing issues as needed. - Monitor and resolve insurance and patient A/R, including denials and delayed payments. - Navigate payer portals to download EOBs and post insurance payments accurately. - Review and document insurance correspondence and submit required attachments and narratives. - Assist in updating SOPs as projects uncover process improvement opportunities. - Collaborate cross-functionally to improve system workflows and clean-up strategies. - Maintain strict confidentiality and adhere to all HIPAA guidelines and regulations. Qualifications - 3+ years of dental billing or revenue cycle experience; experience with special projects or office transitions preferred. - Strong understanding of dental/ortho billing, CDT codes, and claims submission requirements. - Experience with Denticon and/or Cloud 9 preferred - Demonstrated ability to work independently and manage competing priorities in a deadline-driven environment. - Strong analytical and problem-solving skills with keen attention to detail. - Excellent verbal and written communication skills. - Working knowledge of Microsoft Office Suite (Teams, Excel, Word, Outlook, etc.).
