Role Description The Senior Program Manager (SPM) coordinates and manages all aspects of clinical registry projects working in conjunction with the division leadership team to ensure the goals and objectives of each project are met. The SPM defines the abstracting and registry operations procedures for each project, provides training and direct supervision of assigned Data Abstractors, and coordinates and manages the validation activities for each project to ensure high quality abstraction. This includes monitoring validation scores and corrections as well as providing educational interventions as needed to assist abstractors with improving their quality. Qualifications - Must be a Certified Metabolic and Bariatric Surgery Clinical Reviewer and a Certified NSQIP Surgical Clinical Reviewer (SCRs) - At least 1 year of NSQIP registry abstraction and NSQIP database/registry management experience, with current NSQIP registry certification credentials (SCR), required - At least 1 year of MBSAQIP Bariatric registry abstraction and database management experience, with current MBSCR registry certification credentials (MBSCR), required - Proficient in Microsoft Office Products and/or Google office products, industry related core registry data abstraction specifications manuals, data abstraction software systems and electronic medical record applications, required - Excellent communication, documentation, organization and planning skills, required - Strong attention to detail, required - At least 1 year of Quality Department management or other health related management experience, preferred - Previous experience performing validation reviews or other work experience relating to Quality Control/Validation, preferred - Associate or Bachelor Degree in Health Information Management, Nursing or related field, preferred - RHIT, RHIA, CPHQ, RN, preferred - Exposure to quality improvement concepts and processes, preferred - Ability to analyze, interpret and display data, preferred Requirements - Manages all abstracting and registry operations/project related activities in accordance with applicable regulatory agencies for assigned specialty area(s) - Ensures all Project Manager/Quality Manager instruction documents and policies and procedures are followed - Ensures successful setup and implementation of new projects including working with each client to define project parameters/project roadmap, project expectations and requirements for the services RP will provide - Conducts staff training on data abstraction software and facility Electronic Medical Record System(s) - Provides clear expectations, goals and deadlines to project team(s) - Conducts a re-abstraction of the first/second/three cases (if applicable). Provides timely feedback and consultation as needed to the abstractor. - Conducts a weekly re-abstraction of all opportunities for improvement (OFI's) as well as a random sample of 5% of the cases completed to enforce and ensure data abstraction guidelines are being followed and interpreted accurately. - Compiles Opportunities for Improvement (OFI) logs or the equivalent per project specifications (weekly or monthly). - Monitors validation compliance and completion for each assigned project and staff member by utilizing the various validation reports within Kimble. - Completes weekly case log verification for assigned projects on weekly case logs to verify cases are 100% complete. - Provides ongoing validation guidance and support to abstractors and other managers who are abstracting, as needed. - Schedules project teamwork assignments/hours to meet the needs of each project with accurate project forecasting. - Assists the Registry Services Director (RSD) or Vice President/Senior VP with providing corporate education regarding industry and/or regulatory agency changes/updates as needed. - Attends and actively participates in monthly meetings. - Prepares and submits accurate weekly reporting of project activities and tasks. - Consults industry related Q & A resources as needed for abstracting questions/clarifications as needed. - Identifies staffing needs based on workload and services being provided to the client and recognizes additional work opportunities that may be available. - Monitors project priorities, deadlines and productivity to ensure staff work schedules and project expectations are being met. - Maintains all project related documentation. - Provides timely responses to employee and client questions and/or concerns as needed and consults with other management team members when necessary. - Proactively identifies and analyzes problems (employee and client) and discusses with RSD, to ensure a successful solution. - Fulfills committed work hours to meet the requirements of clients, employees and the company during normal business hours and across standard business days (Monday through Friday, 8:00 am to 5:00 pm in your time zone) and during non-standard hours (evenings, nights, and weekends and holidays) as needed. - All other duties as assigned. Role Description The Data Abstractor ll (DAll) is responsible for remote abstracting and registry operations and related tasks as assigned. Additionally, the DAll is responsible for following the guidelines published in the project parameters/roadmap document, Quality Management Validation Policy and Procedure and working within the established productivity guidelines for each assigned project and case type. The DAll is accountable for their committed work hours for each project assignment and in assisting the management team with meeting the goals and deadlines for each assigned project. Qualifications - Minimum of one-year current abstraction experience in the American College of Cardiology Afib Ablation Registry required. - Proficient in industry related clinical registry data abstraction specifications manuals, data abstraction software systems and electronic medical record applications. - Additional knowledge of at least one other NCDR data registries (CathPCI, CPMI, TVT, LAAO), preferred. - Strong attention to detail. - Ability to work independently. - Excellent communication and documentation skills. - Proficient in Microsoft Office and/or Google products. - Exposure to quality improvement concepts and processes, preferred. - RN, RHIA/ RHIT, CPHQ, preferred.
