Responsible for timely and accurate support of the escrow process including, but not limited to, ordering, tracking, receiving, reviewing, and inputting data related to payoffs, taxes, assessments, HOAs, water, sewer, and other items for the purchase and refinance of real estate. Participates in learning and development activities to expand knowledge base. Key responsibilities: - Review action lists and/or reports to prioritize work - Order or source required data (HOAs, payoffs, utilities, taxes, assessments, etc.) - Enter amounts, paid-through dates, and other required data points for each item - Add payoff and HOA information to the prelim/title commitment as it becomes available - Follow up with third parties for items not received by the due date and reorder expired items - Follow up with Pre-Closer/Escrow Assistant or Escrow Officer on information sheets and missing data - Communicate with Escrow teams on file issues and needed corrections - Use internal systems (ResWare, Outlook, shared inboxes, spreadsheets/reports) to manage daily work - Other related duties as assigned or requested Competencies - Communication: clearly shares information in writing and verbally - Detail orientation: catches small errors and keeps work accurate - Organization: manages multiple files/queues without losing track of items - Comfort with numbers: works confidently with fees, payoffs, and basic calculations - Technical ability: learns and navigates multiple systems (ResWare, web portals, dashboards, spreadsheets, email tools) and follows written SOPs/job aids - Forward-thinking and AI-friendly: open to trying and adopting new tools (including AI) to make work faster and more accurate - Ownership and agency: takes responsibility for their queue, keeps work moving, and raises blockers early - Problem-solving mindset: digs into issues, brings problems with proposed fixes, and looks for ways to cut rework and prevent repeat issues Qualifications - High school diploma or GED required - Bachelor’s degree preferred but not required - Experience in a high-volume customer service, financial services, mortgage, or title/escrow environment preferred - Experience using technology and multiple applications to manage work is a plus Work Schedule Candidates may be asked to work one of the following shifts (all times Eastern): - 8 hour shift ending at 6:30 PM - 8 hour shift ending at 7:30 PM We may offer remote flexibility for candidates who can support a shift ending at 8:00 PM, based on business needs and manager approval. SUMMARY As an Escrow Closer, you will own the escrow closing process, including compliance with real estate contracts, lender instructions, title insurance requirements, and other written instructions. You will be the single point of contact for all parties from the time we receive the contract through closing. You will prepare all closing documents necessary to ensure title insurance is issued at closing. High levels of accuracy, attention to detail, and the ability to prioritize, multi-task, and focus on deadlines will determine your success in this role. ESSENTIAL DUTIES AND RESPONSIBILITIES - Responsible for effectively managing the real estate closing transaction. This position requires the Escrow Closer to exercise independent judgment and to possess the knowledge and experience necessary to efficiently handle situations which may arise during the closing process. - Manage the real estate closing process, including compliance with real estate contracts, lender instructions, title requirements, company requirements and other written instructions. - Understand the escrow process to determine what steps need to be taken to transfer the title of property pursuant to the conditions called for in the real estate contract and lender instructions. - Collaborate with the title department to resolve title issues such as legal descriptions, easements, lot splits, vesting, all tax liens, abstracts of judgments, bankruptcies, boundary disputes, encroachments, lis pendens, etc. - Prepare all closing documents necessary to ensure title insurance is issued at closing. - Oversee the issuance of checks, bills and statements, receipts, and any other documents needed to ensure customer satisfaction. - Secure all documents (corrective and others) that may be required for the issuance of title insurance. - Single point of contact for Buyers, Sellers, Agents, Lenders and others. - Assist customers and clients with closing related questions. - Prior to disbursement, confirm all funds are collected, all appropriate documents are checked for accuracy, signatures are collected, and acknowledgements and legal descriptions are correct. - Correct all taxes due, HOA dues, and any delinquencies and/or principal and interest. - Ensure all payoffs have been collected, mailed, delivered or wired according to instructions. - Verify against the HUD statement that all disbursements have been paid correctly. - Prior to recording, verify all legal documents for correct acknowledgements, legal, and lien information. - When needed, delegate work to and manage work of escrow assistants in the real estate transaction process. - Manage and develop client relationships to ensure future real estate closing transactions. Essential Duties and Responsibilities - Manage the real estate closing process, including compliance with real estate contracts, lender instructions, title requirements, company requirements, and other written instructions. - Understand the escrow process to determine necessary steps for title transfer as per real estate contract and lender instructions. - Collaborate with the title department to resolve title issues such as legal descriptions, easements, lot splits, vesting, tax liens, abstracts of judgments, bankruptcies, boundary disputes, encroachments, lis pendens, etc. - Prepare all closing documents necessary to ensure title insurance is issued at closing. - Oversee the issuance of checks, bills and statements, receipts, and any other documents needed for customer satisfaction. - Secure all documents (corrective and others) required for title insurance issuance. - Act as the single point of contact for Buyers, Sellers, Agents, Lenders, and others. - Assist customers and clients with closing-related questions. - Prior to disbursement, confirm all funds are collected, documents checked for accuracy, signatures collected, and acknowledgements and legal descriptions are correct. - Correct all taxes due, HOA dues, and any delinquencies and/or principal and interest. - Ensure all payoffs have been collected, mailed, delivered, or wired according to instructions. - Verify against the HUD statement that all disbursements have been paid correctly. - Prior to recording, verify all legal documents for correct acknowledgements, legal, and lien information. - Delegate work to and manage escrow assistants in the real estate transaction process when needed. - Manage and develop client relationships to ensure future real estate closing transactions. About the Team As an Escrow Closer, you will own the escrow closing process, including compliance with real estate contracts, lender instructions, title insurance requirements, and other written instructions. You’ll prepare all closing documents necessary to ensure title insurance is issued at closing. High levels of accuracy, attention to detail, and the ability to prioritize, multi-task, and focus on deadlines will determine your success in this role. What You Need - At least 2+ years of Escrow experience - Must have knowledge of legal documents with the ability to analyze and evaluate documents as they relate to closings. - Software experience with Ramquest and Resware strongly desired (Experience with Softpro, LandTech, or similar software will also be considered). - Commercial and/or multi-state experience is a major plus. - Excellent verbal, written, and interpersonal communication skills. - Client and Customer facing experience are a must. - Proven problem-solving, analytical, and organizational skills with a deadline-driven approach. - Team player attitude – you enjoy helping your team members be successful! Compensation Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets. Base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The U.S. pay range for this position in most locations is $28.85 - $36.06 hourly. In the SF Bay Area of California and Seattle, WA area, the hourly range is $35.10 - $43.75. Pay within this range varies by work location and may also depend on your qualifications, job-related knowledge, skills, and experience.
