Title: Family Office Operations Manager Location: Wayne, NJ Job Description: Full Time Experienced Family Office Operations Manager Direct report: Owners Location: Wayne, NJ (hybrid - on-site as required) Employment type: Full-time The Family Office Operations Manager provides day-to-day administrative, operational, and basic financial support across the family’s multiple small businesses and household interests, acting as a trusted point of contact for vendors, advisors, and family members while maintaining discretion and high standards of organization. Key Responsibilities - Manage daily office operations across the family’s businesses: mail, phone, scheduling, reception, supplies, and vendor relationships. - Handle basic bookkeeping and finance administration: process invoices, track expenses, prepare vendor payments for approval, reconcile small accounts, and prepare monthly expense summaries for the principal or external accountant. - Maintain and track budgets for each business unit and household expenses; flag variances and recommend corrective actions. - Manage external advisors (accounting, payroll, legal, and insurance), managing priorities, directing deliverables, and exercising judgment to resolve issues and ensure timely completion of business requirements. - Support payroll and HR administrative processes in partnership with external providers, including employee records, onboarding workflows, and ensuring compliance with established policies; identify issues and implement process improvements as needed. - Oversee basic household and property coordination: schedule maintenance, manage contractors, track warranties and service agreements across properties/business locations. - Maintain confidential files and important documents (insurance, contracts, deeds); ensure secure storage and easy retrieval for authorized parties. - Implement and improve administrative systems and processes to increase efficiency, including standard operating procedures, filing systems, and dashboards for expense tracking. - Provide ad-hoc project support for household or business projects (renovations, events, small acquisitions), including vendor sourcing and project coordination. Required Qualifications - 3–5 years office management, family office, or operations experience for small businesses or multi-site environments; prior exposure to family-owned businesses is a plus. - Solid working knowledge of basic accounting/bookkeeping tasks (accounts payable/receivable, reconciliations) and comfort using accounting software (QuickBooks, Xero, or similar). - Strong organizational and time-management skills, with the ability to prioritize across competing tasks and sensitive requests. - High level of discretion, trustworthiness, and professionalism handling confidential family and business matters. - Excellent written and verbal communication and vendor management skills. - Proficiency with Microsoft Office (Outlook, Excel, Word) and comfortable learning new systems. - Valid driver’s license and willingness to travel locally between properties/business locations as needed. Preferred Qualifications - Experience supporting multiple business entities or a family office environment. - Bookkeeping certification, associate degree in business/finance, or comparable experience. - Familiarity with payroll processes and HR record keeping. BASIC FUNCTION SUMMARY: The Assistant Controller will play a key leadership role in overseeing the company’s accounting operations within a fast-paced, multi-channel distribution environment. This role partners closely with the Controller to ensure accurate financial reporting, strong internal controls, compliance with GAAP, and maintenance of GL integrity. The ideal candidate will drive process improvement, and is hands-on, analytical, and experienced in accounting operations. This role coordinates closely with the existing AP, AR, Billing, and Financial Operations teams to ensure accuracy, timeliness, and completeness of financial reporting. ESSENTIAL FUNCTIONS: Duties, Skills, Responsibilities and Expectations: Accounting & Financial Reporting - Manage monthly, quarterly, and year-end close processes, ensuring timely and accurate financial statements - Prepare and review journal entries, account and bank reconciliations, and supporting schedules - Support U.S. GAAP consolidated financial statements and ensure proper revenue recognition, accruals, balance sheet management and cut-off procedures - Oversee accounting for fixed assets, payroll/commissions, benefits, 401k, and inventory, - Partner with HR and support HRIS related accounting work including payroll, commissions, health benefits, and 401k entries and reconciliation - Support internal and external audits with strong documentation and internal controls review Sales Tax, Compliance & Controls - Review nexus exposure and transactional tax accuracy. - Maintain sales tax payable and sales tax receivable accounts. - Support state audits and compliance requirements. Process Improvement & Controls - Design, implement, and maintain strong internal controls aligned with best practices - Support ERP system initiatives, including NetSuite implementation and reporting enhancements - Document accounting policies and procedures. Develop and maintain SOPs Leadership & Collaboration - Mentor accounting staff and colleagues, providing guidance and development support - Act as a backup to the Controller and contribute to special projects and ad hoc financial analysis MINIMUM REQUIREMENTS: - Bachelor’s degree in Accounting or Finance (Accounting preferred) - 6+ years of accounting experience in a complex, multi-entity, or inventory-intensive environment - Experience in ecommerce, consumer products, distribution, or multi-location operations preferred - Strong understanding of U.S. GAAP, reconciliations, internal controls, and financial reporting - Advanced Excel skills (VBA experience highly preferred); ERP experience a plus (NetSuite preferred) - CPA not required, but a plus WORKING CONDITIONS: - Position is fully remote to the US only - Ability to accommodate multiple time zones with primary ET (EST/EDT) - Dedicated workspace and high-speed internet - Frequent video conference/email/chat PHYSICAL DEMANDS: - Consistently operate a computer and other productivity equipment, including keyboard, webcam, and document scanner - Clarity of vision of 30” or less - Ability to perceive sound in the capacity of oral communication - Exertion of up to 10 lbs. of force as related to the lifting or moving of objects The base salary range for this role is $90,000 to $110,000 per year. Compensation for this role will vary based on factors such as qualifications, experience, skill level, and competencies.
