Role Description The Event and Conference Manager is a vital operational position that supports the daily planning, coordination, and production phases of key events for the Democracy Alliance, including small, mid, and large-scale virtual, hybrid, and in-person meetings/retreats and conferences. This role focuses on the essential day-to-day administrative management, registration oversight, and timeline tracking necessary to execute high-quality events that grow the DA community, deepen existing relationships, and provide a living demonstration of DA values—especially a commitment to racial, gender, and economic justice and a belief in the power of a just multiracial democracy. Reporting directly to the Director of Events and Community Engagement, the Event Manager will be expected to: - Co-author and take full ownership of tracking the master event project plan. - Manage the event inbox and daily communications. - Oversee registration data and hotel block fulfillment. This position demands an advanced understanding and application of event planning and project management best practices, coupled with knowledge of the philanthropic and political communities, and requires the ability to manage a high-volume workflow that covers multiple events and constituents simultaneously. Qualifications - 5 to 7 years of experience in event coordination, project management, or high-level administrative support. - Experience within progressive movement organizations, non-profits, or political campaigns is highly valued. - Planning and producing multi-day conferences for diverse audiences. - Executing and/or managing virtual events. - Project management or coordination on large-scale initiatives. - Handling a variety of key initiatives concurrently. - Working in social justice organizations, progressive politics, and/or philanthropy. - Working with historically underrepresented communities. - Experience monitoring registration pipelines and database systems. - Demonstrated experience maintaining and updating complex project plans. - Ability to work occasional long hours—including nights/weekends—as required by event schedules. - Experience managing vendors developing early to mid career team members. - CMP or other relevant event/project management certification is a plus. Requirements - Excellent written and oral communication skills. - Exceptional proficiency with Microsoft Excel and Google Sheets. - Strong interpersonal skills, social-emotional intelligence, and a collaborative work style. - Excellent organizational and analytical skills, with meticulous attention to detail. - Strong diplomatic skills used to influence others and resolve problems. - Sincere commitment to working collaboratively with all constituent groups. - Demonstrates discretion in handling confidential and sensitive issues. Role Description The Chief of Staff serves as a strategic partner, trusted advisor, and operational anchor to the President. This role supports the President in executing her leadership priorities, managing key relationships, and ensuring alignment between her work and the organization’s broader goals. The Chief of Staff manages the Executive Office, including overseeing and managing the Executive Assistant to the President, ensuring strong coordination, clear communication, and effective systems that maximize the President’s time and impact. This is a highly visible and fast-paced role that requires exceptional organizational judgment, strategic thinking, and emotional intelligence. The ideal candidate thrives on anticipating needs, connecting dots across teams, and building systems that enable the President to focus on the most important priorities. Key Responsibilities - Serve as the primary thought and operational partner to the President on her daily priorities, meetings, and external engagements. - Develop systems to ensure that the President’s activities are aligned with organizational strategy and priorities. - Ensure the President is appropriately briefed for meetings, events, and public appearances. - Independently manage correspondence and advise on requests for meetings and engagements. - Support the President’s relationships with partners, funders, grantees, and senior leaders across the progressive ecosystem. - Build and maintain relationships with key stakeholders, including board members, partners, and donors. - Serve as an external point of contact on all events, meetings, and speaking engagements. - Proactively identify and resolve superfluous issues before they reach the President’s purview. - Prioritize conflicting needs; manage organizational matters expeditiously. - Attend meetings on behalf of the President as needed. - Work with the Executive Assistant to manage the President’s schedule, priorities, travel, and high-profile events. Organizational Coordination and Leadership - Work with senior team to set organizational priorities, goals, and priorities for the organization. - Connect the President’s work to staff-wide goals and ensure information and decisions flow from the president to the appropriate teams. - Work closely with senior leadership to ensure the President’s initiatives and decisions are effectively communicated and implemented. - Project manage strategic projects on behalf of the President. - Anticipate relationship and communication needs, ensuring timely follow-up and strong stewardship of key connections. Board Engagement and Management - Partner with Senior Team on strategic leadership of the Board of Directors. - Support President in Board cultivation, expansion, and development of individual Board relationships. Qualifications - 8 –10+ years of professional experience, including at least 3 years supporting executive-level leadership in a mission-driven, complex organization. - Proven ability to build trust and manage relationships with senior leaders, partners, and staff at all levels. - Exceptional writing, editing, and communication skills. - Strong project management skills with acute attention to detail. - Highly organized, proactive, and adaptable, with a solutions-oriented mindset. - Excellent judgment, discretion, and ability to handle confidential information. - Ability to proactively identify problems, anticipate needs, and develop solutions. - Experience developing and managing systems that promote efficiency, accountability, and clarity. - Strong interpersonal skills and the ability to communicate effectively with senior executives, donors, Board members, and staff. - Advanced proficiency with Outlook and Google Workspace. - Demonstrated ability to synthesize information, prioritize multiple projects, and maintain composure in fast-paced, high-pressure environments. - High preference for someone Based in New York City with the ability to travel up to 30% as needed.
