Colleague Services - Serve as the first point of contact for colleague inquiries related to HRIS transactions and HR policies via phone and email. - Assess colleague questions to determine nature of problem and to resolve the issue(s) or escalate to higher levels of technical/functional support. - Provide timely and accurate information to colleagues and managers on HR-related issues. - Initiate the onboarding platform within UKG for new hires. - Assist with colleague exit processes and final paperwork. - Complete password resets and role assignments in UKG. - Log and track calls to look for areas to improve HR process training and reference guide materials and will be responsible for updating such documentation. Background Checks and Drug Tests: - Coordinate and manage pre-employment background checks and drug testing processes. - Coordinate and manage background checks and drug testing requirements for customer badging requirements. - Communicate with candidates and external vendors to facilitate timely completion of screenings. - Ensure compliance with legal and company standards throughout the screening process. - Review and verify the results of background checks and drug tests and coordinate any necessary follow-up actions. Compliance and Documentation: - Maintain colleague records and ensure that all HR documentation complies with legal and company standards. - Assist with the preparation of compliance reports and audits. - Monitor and ensure adherence to company policies and employment laws. HR Systems and Data Management: - Update and maintain HRIS (Human Resource Information System) with accurate colleague information. - Process and maintain colleague status, position changes and pay rate changes in the HRIS system. - Facilitate I-9 processing/documentation for new hires and reverifications for current colleagues. - Provide weekly, monthly, and quarterly reports on HR metrics and data, including new hires, terminations, transfers, leaves of absences, workers’ compensation, and other relevant information. - Generate HR reports as needed for internal stakeholders. - Conduct audits of colleague data to ensure completeness and accuracy. - Ensure data integrity and confidentiality in all HR systems. General HR Support: - Review incoming mail, categorizing documents based on content and urgency, and distributing them to the relevant team members. - Performs other duties as assigned.
