Role Description Care Options For Kids is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to senior executives and leadership teams. This remote position plays a critical role in ensuring efficient executive operations, effective communication, and seamless coordination of business activities across multiple departments. The Executive Assistant will manage calendars, coordinate meetings, arrange travel, prepare reports and presentations, handle confidential information, and support executive-level projects. The ideal candidate is a self-starter with exceptional organizational abilities, strong communication skills, and the ability to manage competing priorities in a fast-paced healthcare environment. Key Responsibilities - Executive Support - Manage complex executive calendars, appointments, meetings, and scheduling priorities. - Coordinate internal and external meetings, including preparation of agendas, meeting materials, and follow-up action items. - Serve as a primary point of contact between executives, employees, healthcare partners, vendors, and stakeholders. - Draft, proofread, and edit correspondence, reports, presentations, and executive communications. - Handle confidential and sensitive information with professionalism and discretion. - Administrative Operations - Organize and maintain electronic files, records, and documentation systems. - Prepare meeting minutes, executive summaries, reports, and presentations. - Monitor deadlines and ensure timely completion of projects and assignments. - Support policy documentation, operational procedures, and process improvements. - Assist with budget tracking, expense reporting, and invoice management. - Project Coordination - Coordinate cross-functional projects and administrative initiatives. - Track project milestones, deliverables, and action items. - Collaborate with leadership teams to ensure smooth execution of organizational priorities. - Assist with strategic planning meetings and executive-level initiatives. - Support special projects assigned by executive leadership. - Communication & Relationship Management - Manage high-volume email correspondence and telephone communications. - Build professional relationships with internal and external stakeholders. - Coordinate virtual meetings, webinars, leadership events, and organizational activities. - Ensure prompt and professional responses to inquiries and requests. - Promote positive communication and collaboration across departments. - Remote Office Management - Utilize digital collaboration tools to support remote operations. - Maintain accurate records and organizational systems in a virtual environment. - Support remote workforce communication and administrative needs. - Identify opportunities to improve workflow efficiency and productivity. Qualifications - Associate degree, Bachelor's degree, or equivalent professional experience in Business Administration, Healthcare Administration, Communications, or a related field. - Minimum of 3 years of experience in an Executive Assistant, Administrative Assistant, Office Manager, or related administrative support role. - Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. - Excellent written and verbal communication skills. - Demonstrated ability to manage multiple priorities and deadlines. - Strong organizational and time-management abilities. - Ability to maintain confidentiality and exercise professional judgment. - Experience working independently in a remote environment. - Strong attention to detail and accuracy. Preferred Qualifications - Experience supporting senior executives or C-suite leaders. - Experience within healthcare, healthcare administration, home health, pediatric healthcare, or related industries. - Knowledge of project coordination and business operations. - Experience using scheduling, collaboration, and project management software. - Familiarity with healthcare compliance and privacy standards. - Experience preparing executive reports, presentations, and business correspondence.
