Role Description The Admissions Representative partners with potential students interested in attending American Military University and American Public University. This role is expected to help potential students discover goals, needs, and advise toward solutions, and enrollment decisions, work toward an action plan to achieve goals, and ultimately make admissions decisions regarding student fulfillment of admissions requirements. The Admissions Representative uses marketing materials/opportunities provided by American Public University System (APUS) to serve assigned potential students as determined by management. This is a student facing professional position in higher education. It reports to either an Admissions Manager or Senior Admissions Manager, who report to a Director of Admissions or Director of Prospect Management, who report to the Vice President of Admissions. Role Description The Student Support Representative (SSR) is the “front line” resource of American Public University System (APUS) for assistance to students attending American Military University (AMU) and American Public University (APU). The position is expected to have a broad based knowledge of the University and its policies (including federal privacy laws for students), as well as degree programs, courses, financing methods, administrative procedures, and processes. The Representative must also be familiar with information related to federal educational funding options as well as United States military educational funding sources. Role Description The Document Services Specialist I supports the student enrollment process by reviewing and processing student documents and files required for admission to the University, as well playing an active role in key processes, such as: - Transfer credit evaluation (TCE) - Program change (PC) - New program enrollment (NPE) - Transcript request authorization (TRA) This role is also responsible for paper and electronic document intake, scanning through the digital content management system and indexing documents based on the information contained in the student information system. The individual serving in this role is required to be a flexible, dedicated, professional and energetic person with an eye for detail and focus on service to students and staff. They should also be focused on the “Advancement” competencies outlined in the Document Services career progression program/plan and ensure expectations are consistently met in order to be prepared for advancement on the team. Responsibilities: - Meets and exceeds the expectations outlined in the Document Services Expectations Document. - Processes daily workload to ensure all department service level agreements (SLA’s) are met and exceeded when possible. - Opens, sorts, and batches incoming mail as well as scans paper transcripts and documents. - Reviews and processes all incoming documents for student files and updates document statuses when applicable. - Reviews student accounts daily for file completion and preparedness for transfer credit evaluation (TCE). - Communicates with students and staff regarding student documents, files, and transcript release authorization (TRA) requests. - Communicates with other institutions to verify student records, transcripts, process payments for TRA’s and to follow up on previous orders. - Places transcript orders through third party vendors. - Reviews and processes new program enrollment (NPE) applications and program change (PC) forms for file completion and preparedness for TCE. - Reviews and processes readmission applications for designated student populations. - Validates transcript data sent through optical character recognition (OCR) software. - Prints and indexes electronic documents in various systems. - Assesses student document logs to determine which documents are required and which are optional and then designate them accordingly. - Responsible for protecting student records and personal information according to the standards outlined in the Family Education Rights and Privacy Act (FERPA). - Performs other duties as assigned. Role Description The Financial Aid Advisor is responsible for providing phone-based financial aid support and counseling services to students attending American Public University System (APUS). This role functions in a call center type of environment and is heavily focused on providing a high level of customer service. Financial Aid Advisors will spend the majority of their workday engaged in inbound phone-based activities. - Conducts inbound phone-based discussions, advising and educating students on various forms of Federal Student Aid. - Provides a high level of customer service, ensuring that the student is packaged with funding to access courses and pursue degree completion. - Actively engages in problem solving and regularly works with basic math skills to review financial aid package information to ensure correct processing. - Seeks out opportunities to enhance the student experience and promote high-quality service. - Leverages financial aid and student databases to perform research while on phone calls to assist students and parents through the financial aid cycle in real time. - Ensures daily duties are met within established Service Level Agreements and remains flexible to daily workflow as a result of staffing and business needs. - Consistently meets department quality and productivity metrics. - Collaborates with other University departments including Admissions, Advising & Student Support on an as needed basis. - Maintains accurate knowledge of the University’s products and services. - Understands and adheres to laws, regulations, policies and procedures, and compliance requirements, staying current on industry standards. - Maintains eligibility to access the National Student Loan Data System (NSLDS), as defined by the US Department of Education. - Supports and contributes to the organization’s commitment to diversity, equity, inclusion and belonging. - Performs other duties as directed, requested or assigned. Role Description The Military Assistance Team Specialist processes military tuition assistance forms, submits veteran’s benefits data to the VA, and processes civilian tuition assistance forms within the targeted service level performance goals set by the Department. Advise, counsel, and effectively communicate information regarding benefits available to military and veteran student population. Perform position duties while maintaining compliance with Department of Veteran Affairs (VA) and Department of Defense (DoD) regulations and policy and adhere to FERPA standards. - Assists with the processing of all military and veterans educational assistance programs to include: military and civilian tuition assistance, veterans benefits (all chapters), and APUS tuition benefits. - Maintains targeted Service Level Performance Goals as established by Military Assistance Management. - Advises and encourages student success and persistence via telephone and email communications within established deadlines. - Provides informational resources and counseling to military and veteran students regarding educational benefits to include military tuition assistance, veteran’s benefits, employer benefits, and federal financial aid. - Assists team members with prioritizing departmental work to be completed within established deadlines. - Certifies all chapters of VA benefits, report progress of veteran and military students. - Maintains communication with VA and military, and other 3rd party representatives. - Maintains awareness of compliance regulations and VA & DoD education policies in all aspects of processing student documentation. - Contributes to the continued improvement of the Military Assistance Department through active participation in meetings, training, and professional development opportunities. - Records student interactions and receipt of student documents. - Keeps supervisors and peers aware of project status and completion as well as notable trends in student observation and interaction, in order for supervisors to assess initiatives or changes to current processes as needed. - Other duties as presented, to support our staff and students. Academic Advisor American Public University System Online/Remote Academic Advisors serve to guide, encourage, and inform students of recommended academic options to progress through their academic programs at APUS. Academic Advisors interact with students through a variety of remote means – email, phone, chat, and others to help students identify and meet their educational goals. Professional Academic Advisors, who form the majority of the APUS Academic Advising Department, are critical-thinking student services professionals who use exceptional communication and analytical skills to guide, influence and encourage students through their academic journeys at APUS. Advisors are quick-thinking multitaskers who must excel in a variety of roles on a daily basis – analyst, cheerleader, diplomat, clerical specialist, subject matter expert, and above all, effective communicator. The role requires a daily willingness to review students’ individual situations to determine optimal solutions and to adjudicate student’s requests to waive policy. This requires the advisor to have the ability to counsel students against a particular course of action, even if doing so will not always be well received by the student. Advisors participate within the University and across industry in multiple ways (e.g., Committees, technical task forces, authors and presenters for the National Academic Advising Association [NACADA]). APUS encourages continuing professional development and education for all advising staff.
