Role Description This is a 100% remote position reporting to our Valley office. As an Administrative Assistant, you will handle the essential "behind-the-scenes" functions that keep our clinic running smoothly. You will be responsible for: - EHR Management: Maintain and update patient records within our Electronic Health Record (EHR) system with 100% accuracy. - Medical Billing Support: Assist the billing department with claim entries, payment posting, and insurance follow-ups. - Credentialing & Documentation: Help manage provider credentialing files and ensure all clinical documentation meets regulatory standards. - Coordination: Manage administrative calendars, coordinate virtual staff meetings, and assist with internal clinic communications. - Compliance Oversight: Strictly adhere to all HIPAA regulations, ensuring that all digital files and communications remain secure and confidential. Qualifications - Experience: 2–4 years of administrative experience, preferably in a medical or clinical setting. - Technical Skills: High proficiency in Microsoft Excel and Google Workspace. Previous experience with medical billing software or EHR platforms (e.g., Athena, eClinicalWorks) is highly preferred. - Communication: Good written and verbal communication skills. You must be able to draft professional correspondence for both internal teams and external partners. - Logistics: Must have a dedicated, secure home office and high-speed internet. - Time Zone: Ability to work a full-time schedule aligned with Central Time (CST). Role Description This is a 100% remote position reporting to our Valley, Alabama headquarters. As a Remote Patient Access Representative, you are the digital face of our clinic. You will be responsible for high-volume virtual patient intake, insurance verification, and complex scheduling. This role requires a professional who is self-motivated, tech-savvy, and deeply committed to patient privacy and HIPAA standards. - Virtual Patient Intake : Facilitate the remote check-in process, ensuring all patient demographics and insurance details are accurately captured in our Electronic Health Record (EHR) system. - Telehealth Scheduling : Manage incoming calls and digital requests to schedule both in-person and telehealth appointments for our providers. - Secure Data Management : Handle sensitive medical records and patient information with the highest level of discretion, strictly adhering to HIPAA regulations. - Insurance & Billing Coordination : Perform real-time insurance eligibility checks and assist patients in understanding their coverage or sliding-fee options virtually. - Communication Hub : Serve as a remote liaison between patients and clinical staff, routing urgent messages and prescription requests to the appropriate team members in Valley. Qualifications - Experience : 1–3 years in a medical office, patient access, or healthcare call-center environment. - Remote Readiness : Must have a dedicated, private home office space and high-speed internet (min. 25 Mbps) to ensure secure, HIPAA-compliant video and voice calls. - Technical Skills : Proficiency with EHR platforms and Microsoft Office Suite. Previous experience with remote collaboration tools (Slack/Zoom) is a plus. - Soft Skills : Exceptional empathy and a calm, professional phone presence. - Authorized to work in the U.S. and able to work shifts aligned with Central Time Zone business hours.
