Components Administrative Manager

US LBM

Role Description The Administrative Manager maintains the location's administrative functions, providing administrative decision-making, support, and leadership while supervising the work product and deadlines of administrative staff to ensure smooth daily operations for all of the location's projects. - Maintain day-to-day efficiencies of all office procedures. - Verify transactions at mid-month and month-end, produce report(s), proof sales and cost codes to associates’ time posted per job, track & generate service charges for past due accounts and communicate and document accordingly. - Generate reports for location management and headquarters, proofing monthly financials and creating broken down financial spreadsheets for the company president. - Create and update budgets and establish graphs and trends; conduct monthly, quarterly, and annual closing of the location’s books. - Proof final figures for the customer or corporate credit department, process lien-waivers and contract amounts by corroborating all transactions in Master Builder related to all jobs. - Review variances and discrepancies with department manager or supervisor in assigned group. - Perform personnel management duties including training, hiring, terminating, initiating disciplinary actions, completing performance reviews and making wage recommendations; ensure compliance to company policies and procedures. - Manage and coordinate day-to-day workflow and performance of account administrators and administrative assistants to optimize production, efficiency and proper coverage. - Conduct periodic reviews of work efficiencies and conduct annual performance reviews for direct reports. - Manage and develop the security systems of all software to prevent loss, error in data and to prevent theft; conduct all IS service orders, upgrades, training, and day-to-day operations of all network applications and web-based systems where applicable. - Maintain a current procedure manual of all assigned duties. Qualifications - High School Diploma required. - Associate's Degree in Accounting or Business Administration or equivalent experience required. - 3 to 5 years of management experience required. - Experience in building materials and construction industry preferred. Requirements - Must have excellent communication and management skills. - Must be able to handle multiple tasks and projects. - Work well under pressure & work demands. - Strong attention to detail. - Ability to work with many different levels of management and labor. - Special knowledge required—Legal compliance and tax laws relating to business financial operations. - Knowledge of all aspects of locations’ administrative operations. - Knowledge of Master Builder software is a plus. - Good computer skills such as Word, Excel and PowerPoint are necessary. Role Description The Manager – Cash/Collections is responsible for overseeing the daily operations of the collections team within the Revenue Cycle department. This role ensures the timely and effective collection of patient account balances and third-party reimbursements, improves cash flow, and promotes compliance with internal policies and external payer requirements. The manager will collaborate with other departments, lead performance improvement initiatives, and supervise staff performance in accordance with quality and productivity goals. - Supervise day-to-day operations of collections team to meet quality and productivity goals. - Monitor aging reports by payer to ensure timely resolution and payment. - Analyze and act on EOBs and denials to resolve issues affecting cash collections. - Collaborate with internal teams to identify root causes of payment delays and implement solutions. - Approve adjustments and refunds per policy guidelines. - Assist in recruitment, training, coaching, and performance evaluations of staff. - Prepare, analyze, and present daily, weekly, and monthly financial reports. - Maintain and update business office policies, procedures, and contract documentation. - Foster interdepartmental collaboration and maintain strong working relationships. - Ensure compliance with federal, state, payer, and organizational billing and collections requirements. Qualifications - Knowledge of healthcare billing and collection practices, including insurance payer requirements. - Proficiency in electronic billing systems and Microsoft Office applications. - Strong analytical and problem-solving skills. - Ability to lead, coach, and develop team members. - Effective communication and interpersonal skills with internal and external stakeholders. - Ability to manage multiple priorities in a fast-paced environment. Requirements - Associate’s Degree in Business, Finance, Healthcare Administration, or related field (Required). - Bachelor’s Degree in Business, Finance, Healthcare Administration, or related field (Preferred). - 3-5 years healthcare revenue cycle experience (Preferred). - Prior Experience in a supervisory or management role in collections (Preferred).
