Reservations Agent
Auberge Collection
• Responding to guests’ inquiries regarding room reservations, availability, and general questions about accommodations, pricing, and special offers. • Assisting and ensuring effective guest challenge resolution. • Working closely with fellow guest service team members and other departments to resolve any challenges, ensure follow-through, and exceed guest expectations when possible. • Ensuring that all billing and financial transactions are accurately and efficiently executed on behalf of guests. • Upselling services and offerings as appropriate, ensuring that each guest is fully educated about the resort’s offerings.
Job Requirements
- Two years in a hospitality, spa, or reservations position, preferably at a luxury resort.
- Ability to create professional business letter correspondence.
- Must possess gracious people and sales skills, excellent phone manner and ability to engage in a positive manner with each and every guest.
- Ability to work cohesively with other departments and co-workers as part of a team.

• Post award contract administration including ensuring payment applications and invoices are prepared in a timely and accurate manner • Timely provision of commercial/ contract deliverables such as bonds, PCGs, evidence of insurance and reporting • Development, implementation, and maintenance of project commercial plans including commercial strategy, subcontracting commercial strategy, and profit improvement plans • Regular cost analysis to: i) maximize recoverable costs, ii) minimize disallowable costs, iii) identify areas for cost saving, and iv) ensure adequate cost accruals and provisions are in place • Preparation of project cashflow forecasts, expenditure, invoice preparation, and expediting of payments in accordance with client contract requirements
• Post award contract administration including ensuring payment applications and invoices are prepared in a timely and accurate manner to include full contract entitlement ensuring scope of delivery is understood by the contract management team and change is captured in contract variations/ amendments, commercial administration files are established and maintained, and correspondence is properly documented. • Timely provision of commercial/ contract deliverables such as bonds, PCGs, evidence of insurance and reporting. • Development, implementation, and maintenance of project commercial plans including commercial strategy, subcontracting commercial strategy, and profit improvement plans. • Regular cost analysis to: i) maximize recoverable costs, ii) minimize disallowable costs, iii) identify areas for cost saving, and iv) ensure adequate cost accruals and provisions are in place. • Ensure that all commercial related DOA matters are correctly approved and documented. • Preparation of project cashflow forecasts, expenditure, invoice preparation, and expediting of payments in accordance with client contract requirements for UI processes and procedures. • Developing Subcontracting commercial strategy in conjunction with Project management, Supply Chain and other functions as required. • Preparation and analysis of inputs to key contract and internal project reporting requirements and participation in internal project reviews. • Developing robust project forecasts in conjunction with the project team.
