Client Services Administrator

• Primarily supports the internal stakeholders to ensure project set-up, reporting, internal communication and processes to deliver client programs on time in a quality manner. • Supports the Client Services department. • Communicates with the internal stakeholders frequently to advise of status of project/program and to ensure BV is meeting Client and contractual expectations. • Ensure contracts are set up appropriately for accurate revenue recognition and billing. • Monitors project/program progress by facilitating calls with internal stakeholders, as needed, on the status of all projects. • Works closely with the accounting team to ensure proper client billing. • Proactively owns and manages projects/programs (or piece of project, i.e. Portfolios, Subcontractors) from inception to delivery of project/program, including identifying milestones and deliverables across all disciplines. • Understand Client requests and work with the Salesperson(s) and/or Senior team to ensure appropriate information is obtained at beginning of projects to set projects up for success (potentially to include research). • Prepare, proof and distribute CARs (client action reports), proposals, reliance letters, and COI’s (Certificate of Insurance). • Advises on process improvement ideas for the efficiency of the Division. • Manages changes in project/program scope, processes change orders, tracks Project process, identifies potential risks, and devises contingency plans. • Perform special projects as assigned by the Salesperson(s) to capture additional revenue or satisfy client requests. • Coordinates and communicates schedules with all vendors, clients, and internal team. • Coordinates contract administration, purchase orders, and change orders. • Receive and disperse Client Supplied Material (CSM). • Set-up of projects in digital writing platform to ensure proper communication and data flow. • Protects operations by keeping company information confidential. • Delivers outstanding customer service through timely response and proactive solutions to clients’ needs. • Demonstrates BV’s guiding principles in support of the company's strategic goals.
Job Requirements
- Bachelor's degree (B.A. or B.S.) from four-year college or university in related field; minimum of one year of related experience.
- In lieu of degree, two years of related experience and/or training, or equivalent combination of education and experience.
- Ability to write reports, business correspondence, and standard operating procedures.
- Ability to effectively present information and respond to questions from clients, peers, and technical field staff.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Intermediate knowledge of Microsoft Word, Excel, Outlook, Windows, SharePoint, Acrobat Adobe, and Deltek Vision.
