Role Description We are seeking a detail-oriented Legal Executive Assistant to support a US-based law firm with daily administrative, financial, and client-facing operations. You will play a critical role in managing the client intake lifecycle and ensuring all case documentation is meticulously maintained. - Handle PNC calls daily, selling paid strategy sessions and managing initial scheduling and invoicing. - Confirm consultations by 3 PM the day before, collecting outstanding payments or removing unpaid appointments. - Prepare and send Retainer Agreements via MyCase, performing consistent follow-ups to ensure completion. - Process daily mail by scanning, saving to OneDrive, calendaring deadlines, and updating MyCase stages. - Manage financial tasks including weekly billing reconciliation, tracking payments in WF accounts, and recording transactions. - Prepare and send client questionnaires in MyCase and organize OneDrive folders for document uploads. Qualifications - Minimum 2 years of experience as a Legal EA or Intake Specialist supporting US-based law firms. - Proven proficiency using MyCase (preferred) or similar legal case management software. - Strong experience in billing, payment collection, and financial reconciliation. - Exceptional English communication skills for handling sales calls and client follow-ups. - Advanced organizational skills with the ability to manage strict daily and weekly deadlines.
