Role Description We are seeking a highly organized and detail-oriented Bookkeeper to support the financial operations of a growing property management company. This role plays a critical part in maintaining accurate financial records, ensuring timely reconciliations, processing transactions, and delivering reliable reporting across multiple properties and business entities. The ideal candidate has strong bookkeeping experience within property management and hands-on experience using Buildium and QuickBooks Online. You will work closely with the property management team to ensure financial accuracy, compliance, and operational efficiency across the portfolio. Responsibilities - Bank Reconciliation & Financial Accuracy - Reconcile multiple bank accounts across various properties and buildings using Buildium. - Review financial records regularly to ensure accuracy and consistency. - Identify and resolve discrepancies, unusual transactions, and outstanding financial items. - Maintain organized and audit-ready financial records for all entities. - Bookkeeping & Accounting Management - Maintain and update QuickBooks Online files for multiple LLCs. - Apply accounting standards aligned with NARPM Chart of Accounts guidelines. - Record, categorize, and reconcile financial transactions accurately. - Ensure financial records remain current and properly organized. - Accounts Payable & Vendor Management - Accurately enter and manage bills within accounts payable systems. - Monitor vendor invoices and payment schedules. - Prevent duplicate entries and billing discrepancies. - Coordinate with vendors and internal teams regarding payment-related matters. - Property Management Accounting - Calculate monthly management fees for each property. - Calculate and process owner draws accurately and on time. - Reconcile financial data between Buildium and QuickBooks Online. - Assist with owner statement preparation and trust account management when applicable. - Financial Reporting - Generate monthly financial reports for internal review and property owners. - Prepare financial summaries and supporting documentation. - Ensure reporting is completed accurately and delivered on schedule. - Assist leadership with financial analysis and reporting requests. - Administrative & Team Collaboration - Maintain organized bookkeeping documentation and financial records. - Collaborate with property managers to ensure accurate billing, invoicing, and vendor payments. - Support internal teams with financial information and reporting needs. - Follow established accounting procedures and best practices. - Systems & Process Improvement - Help improve bookkeeping workflows and financial processes. - Maintain consistency between Buildium and QuickBooks Online records. - Identify opportunities to improve efficiency, accuracy, and reporting processes. - Support the documentation and implementation of financial procedures.
