Client Coordinator

Role Description Reporting to the Planning Team and Client Coordinator Supervisor, the Client Coordinator is responsible for being the initial point of contact for our clients, whether that is through phone calls or emails. - Provide administrative support to a Planning team, including answering initial client phone calls and assisting in responding directly to client communications. - Schedule client consults and phone calls, keeping each Planner's schedule up to date. - Request information from clients needed for upcoming consults or phone calls, following up accordingly. - Receive and organize information from clients for the Data Input Specialist and Associate Planner. - Assist with Investment Operations by submitting requests via the Tectonic Portal as instructed by the Planner. Qualifications - Bachelor’s degree preferred but minimum of high school diploma or equivalent required. - Minimum 3 years related work experience as an administrative assistant preferred. - Professional demeanor with a service mentality. - Organized, detail-oriented, competent follow-through skills. - Excellent communication skills (spelling and grammar). - Superior organization skills - ability to suggest processes and follow up. - Ability to exercise good judgment/decision making when necessary. - Must have flexibility to work overtime as required. - Proficiency in Microsoft Office software including Word, Excel, and Outlook. - Self-motivated with a strong sense of owning client relationships (internal and external). - Ability to independently manage multiple projects to completion. Requirements - No out of town or overnight travel is expected for this position. Work Environment - This job operates in a clerical, office setting. - This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Physical Demands - This is a largely sedentary role; however, some filing may be required. - This would require the ability to lift files, open filing cabinets, and bend or stand as necessary. Position Type and Expected Hours of Work - This is a full-time, non-exempt position. - Days and hours of work are Monday through Friday 8:30 a.m. to 5 p.m. - Some flexibility in hours is allowed based on management’s approval. - The ability to work remotely is allowed based on management’s approval.
