Role Description We are seeking a highly motivated and detail-oriented Senior Events Specialist to join our team as a full-time employee. This person's primary role will be to provide comprehensive operational and logistical support for our two major annual user conferences, Pantheon and Ignite. Reporting to the Events Manager, the Senior Events Specialist will be a critical player in ensuring the flawless execution of key operational pillars, from managing our Pantheon & Ignite Sponsorship programs to overseeing our prospect experience. The ideal candidate will be an organized, customer-focused, and proactive professional with proven expertise in large-scale event logistics and technology. This candidate should be passionate about creating engaging, memorable experiences that resonate with attendees, possess energy, creativity, resourcefulness, and be able to remain calm under pressure. We will consider remote candidates. What you’ll do: - Sponsorship Program Management - Collaborate with the Business Development team to develop and refine the sponsorship prospectus for Pantheon and Ignite. - Support the Business Development team in the active selling of sponsorship packages and booths. - Partner with the expo hall production team on booth design, layout, and logistics. - Own the sponsor-facing website experience, including managing sponsorship SKUs and all related web updates. - Track and manage sponsorship revenue, ensuring accurate and up-to-date financial reporting. - Serve as the primary liaison between sponsors/partners and the organization, responding to inquiries and resolving issues in a timely manner. - Manage the planning and execution of large-scale sponsored events. - Act as the on-site point of contact for all sponsor needs during events. - Prospect Experience - Partner with sales leadership to develop and execute the overall prospect experience strategy at Pantheon. - Collaborate with the sales team to drive prospect attendance and manage logistics for invited prospects. - Track and manage all prospect data in Salesforce to accurately measure and report ROI from on-site contract signings. - Plan and manage the prospect golf event, including vendor coordination, logistics, and guest experience. - Own end-to-end management of the prospect dinner, from planning through on-site execution. - Facilitate the prospect session and lunch, ensuring a seamless and engaging experience for attendees. - Serve as the primary point of contact for the sales team throughout the planning and event execution process. - Expo Hall Strategy & Experience - Own the development of the overall expo floor strategy and layout (100,000+ sq ft), including booth placements, traffic flow, premium zones, and sponsor positioning, in partnership with leadership and cross-functional teams. - Design and curate a dynamic expo experience that extends beyond booths, incorporating lounges, activations, stages, and networking spaces to enhance attendee engagement. - Lead the vision and execution of the turnkey booth program, defining design standards and ensuring a cohesive, elevated sponsor experience. - Serve as the primary owner of the exhibit house relationship, managing all aspects of production, fabrication, and execution from planning through on-site delivery. - Partner closely with the internal creative team to translate strategic goals into clear creative direction and bring the expo vision to life. - Act as the central point of contact between internal stakeholders, sponsors, and vendors, ensuring seamless coordination throughout planning and execution. - Oversee on-site expo operations, including move-in/move-out, booth setup coordination, and real-time issue resolution. - Ensure sponsor compliance with all booth specifications, deadlines, and operational requirements, maintaining a high standard of quality across the expo hall. - Contribute to additional Pantheon and Ignite workstreams and special projects as needed, operating as a flexible, high-impact team member supporting overall event execution beyond core ownership areas. Qualifications - 5-7 years of direct experience in event management, specifically working on large-scale user conferences of 5,000+ attendees. - Required proficiency and hands-on experience with Cvent (including website builder, registration logic, and reporting). - Proven ability to manage a high volume of vendor invoices, track expenses, and navigate corporate procurement processes accurately. - Collaborative team-player with a strong customer-service mindset and high energy. - Exceptional written communication skills, capable of managing external sponsor expectations and internal employee queries. - Meticulous attention to detail and a disciplined approach to managing multiple, complex tasks simultaneously. - Self-motivated and confident in taking ownership of responsibilities within a fast-paced environment. - Willingness to travel to and provide comprehensive on-site support for both Pantheon and Ignite. - Hands-on experience working with exhibit houses and managing large-scale expo floor builds, including booth design coordination and on-site execution.
