Role Description We are seeking an experienced, detail-oriented remote Bookkeeper to manage day-to-day financial operations using QuickBooks Online. This role requires approximately 35 hours of work per month to maintain accurate financial records, support payroll and benefits processing, and ensure all transactions are properly recorded and reconciled. Key Responsibilities - Manage accounts payable, including processing vendor invoices and payments - Assign expenses accurately to projects and maintain project-level tracking - Process payroll and ensure proper recording of payroll transactions - Coordinate new employee onboarding for payroll, including collecting and maintaining required documentation (W-4, direct deposit, etc.) - Administer and record HRA (Health Reimbursement Arrangement) funding - Process and track employee 401(k) contributions - Reconcile bank accounts and credit card accounts on a regular basis - Maintain accurate and up-to-date financial records in QuickBooks Online - Assist with month-end close and financial reporting as needed - Prepare and file the annual 1099-NEC forms - Collaborate with external CPA at year-end by preparing and providing financial data and supporting schedules for tax return preparation Typical Challenges You Will Be Solving - Balancing routine bank reconciliations with specific HR administrative tasks like 401(k) tracking and HRA funding - Ensuring every expense is accurately assigned to the correct project to maintain clear visibility into company profitability - Accomplishing the full scope of month-end close, payroll, and vendor payments within a focused 35-hour monthly window - Keeping records so organized throughout the year that the 1099-NEC filing and CPA collaboration are seamless and stress-free Qualities for Success in This Role - You have a high attention to detail - You are comfortable working independently in a remote environment and can meet deadlines without constant reminders - You enjoy creating or following systems for onboarding new employees and maintaining documentation like W-4s and direct deposit forms - You can clearly explain financial discrepancies or payroll updates to the team and the external CPA This is Right for You If - You are a QuickBooks Online expert - You want a stable, long-term part-time role that fits into your existing schedule - You have a solid grasp of accounting principles and don't need a manual to understand the difference between an HRA and a 401(k) - You take pride in being the person who ensures everyone is paid accurately and on time This is not Right for You If - You prefer a high-volume, 40-hour-a-week workload; this role is strictly focused on a 35-hour monthly contribution - You find administrative paperwork and documentation (like W-4s and schedules) tedious - You are unfamiliar with the nuances of US tax forms like the 1099-NEC - You prefer a role with constant social interaction; this position requires a high degree of independent, heads-down work Benefits - The hourly rate for this position ranges from 40 to 50 USD, depending on skills and experience.
