Media Management, Client Scheduling Virtual Assistant

• Review, organize, and prepare photo and video files for editors • Upload and manage media using Google Drive • Review completed photos/videos from editors for quality assurance • Identify obvious errors or issues and coordinate revisions with editors • Manage client bookings and scheduling • Coordinate shoot schedules and updates • Ensure timely communication and organization of appointments • Prepare and deliver final media galleries to clients • Manage workflows inside HD Photo Hub (training provided) • Ensure accurate and timely delivery of all client assets • Review and perform basic updates to Matterport tours • Assist with general administrative tasks related to daily operations • Support process improvements and workflow organization as needed
Job Requirements
- 1–3+ years of experience in administrative support or virtual assistance
- Strong organizational and file management skills
- High attention to detail, especially in reviewing visual content
- Ability to follow processes and maintain consistency
- Comfortable learning new tools and platforms (training provided)
- Good English communication skills (written and verbal)
- Reliable, proactive, and able to work independently
- Nice to Have (Not Required): Experience in real estate, photography, or media-related workflows
- Familiarity with cloud storage tools (Google Drive)
- Basic understanding of visual quality (photos/videos)
