Tax Onboarding Lead
Netchex
Role Description We are looking for a Tax Onboarding Lead to own the tax setup lifecycle for new Netchex clients. From the initial kickoff call through go-live, you'll ensure every FEIN registration, tax account, multi-state filing, and agency authorization is validated, documented, and in place before the first payroll runs. You'll be the bridge between clients, government agencies, and internal teams — and the person who catches what others miss. Key Responsibilities - Participate in client kickoff calls to introduce and align on all tax onboarding requirements from day one. - Communicate tax setup requirements clearly and early in the onboarding lifecycle to minimize delays and keep clients on track. - Proactively identify and resolve missing setup items — account numbers, POA, TPA, etc. - Validate FEIN and tax account setup, including all applicable multi-state registrations, for accuracy prior to go-live. - Handle federal, state, and local tax agency communications accurately and on behalf of clients throughout onboarding. - Identify and escalate tax setup risks with sufficient lead time to protect go-live timelines. - Review Offshore Tax Operations Specialist tasks for accuracy and ensure backend documentation and data collection are completed within defined handoff timelines. - Confirm tax account numbers, frequencies, and rates within established SLA windows. - Deliver complete and accurate tax verification documents to clients at close of onboarding. - Maintain onboarding case files to audit-ready standards in accordance with internal SOPs. Qualifications - 2–3 years of experience in payroll, tax, client onboarding, or HCM implementation — payroll or tax experience required. - Knowledge of payroll tax compliance at the federal, state, and local level is strongly preferred. - Demonstrated ability to communicate directly with government agencies and clients. - Strong organizational skills and sharp attention to detail — you catch the small things before they become big problems. - Ability to manage multiple onboarding cases simultaneously in a deadline-driven environment. - Proficiency with Microsoft Office Suite, especially Excel and Outlook. - Familiarity with multi-state payroll and tax complexity is a plus. • Prepare, review, and finalize state and local income, franchise, and gross receipts tax returns for multistate corporate and pass-through entities. • Identify and analyze state filing requirements and nexus exposure, including considerations related to due process and the commerce clause. • Perform business activity tax nexus analyses to determine where income or gross receipts tax filings are required. • Conduct technical state and local tax research using statutes, regulations, and administrative guidance to support tax positions. • Assist with state and local tax audits, including responding to inquiries and supporting documentation requests. • Document technical conclusions, calculations, and research findings in clear, audit-ready workpapers and client deliverables. • Manage assigned SALT workstreams within client engagements, including tracking open items, coordinating data requests, and meeting filing deadlines. • Communicate with clients primarily through phone and email to gather information, clarify tax matters, and deliver updates. • Identify opportunities to improve client service delivery and engagement efficiency. • Participate in internal and external training programs to continuously develop technical tax knowledge. • Handle technically challenging tax projects while ensuring compliance with firm policies and quality control standards.
