Business Operations – AI Integration Manager

• Own and optimize the company’s operational infrastructure to ensure disciplined execution, revenue integrity, and organizational clarity. • Build and maintain a living Process Inventory of every operational workflow in the company. • Conduct structured process audits across key business areas: Marketing, Client Handling, Sales, Renewals, Onboarding, Content Systems, and Hiring. • Deliver formal automation proposals with clear rationale: what to change, what to automate, and what stays human. • Manage and maintain Airtable CRM: client records, payment terms, renewals, and pipeline data with 100% accuracy. • Manage Airtable Finance dashboard: track payments, flag overdue accounts, and ensure records are current. • Track client renewal dates and flag accounts to the Enrollment Specialist 30 days prior for follow-up. • Coordinate with the Enrollment Specialist on payment status. • Prepare agendas for team meetings, send Slack reminders, and track action items to completion. • Schedule team training and ensure the team has access to resources, logins, and materials they need. • Provide direct operational support to the COO: planning, priorities, and execution across teams. • Manage ongoing communications with vendors: legal, accountants, and contractors. • Review and draft contracts, propose changes, and send for COO approval before execution. • Schedule and coordinate vendor meetings as needed. • Own hiring admin: candidate screening, recruiter communication, and interview scheduling. • Prepare onboarding plans for future hires. • Keep all internal workspaces, dashboards, documents, and resources organized, accessible, and current across Notion, Airtable, and Slack.
Job Requirements
- 3+ years of experience with AI implementation or CRM integrations with AI.
- 3+ years of experience supporting founders, executives, or senior operators, preferably in startups, finance, or high-demand small teams
- Experience in roles such as Operations, Chief of Staff, Admin/Ops Assistant, or other operational titles
- Excellent written and verbal communication skills
- Native or bilingual English speaker (clarity of communication is essential)
- Highly organized with the ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong problem-solving skills, strategic thinking, and a continuous improvement mindset
- Tech-savvy with experience in tools like Notion, Airtable, PandaDoc, Stripe, Zapier, GHL, Handshake, Claude, Kindly.
