We are seeking a detail-oriented and collaborative Graduate Academic Operations Coordinator to support the operations of Graduate Studies at Reach Teachers College. Reporting to the Senior Director of Graduate Academic Operations and Support, this position plays a key role in executing logistical tasks and ensuring smooth coordination across teams. The Coordinator will contribute to employer success, mentor matching, credential tracking, enrollment support, and communication between academic and partnerships teams. Success in This Role Looks Like - Ensuring graduate academic operations run smoothly through accurate coordination, documentation, and follow-through - Strengthening collaboration between Graduate Studies and employer partners through clear communication and reliable processes - Supporting candidates, mentors, and partners with care, clarity, and consistency across enrollment, fieldwork, and credentialing experiences - Contributing to a culture of accountability, transparency, and continuous improvement within Graduate Studies Experience & Approach We’re Looking For - Detail-oriented, highly organized, and comfortable managing multiple priorities simultaneously - Strong follow-through and a proactive, solutions-oriented mindset - Clear, professional communicator across email, meetings, and partner-facing correspondence - Enjoys building and maintaining systems that help others succeed Preferred Qualifications - Experience in higher education or K–12 educational settings - Familiarity with teacher credentialing processes (California preferred) - Strong technology orientation; experience with CRMs, spreadsheets, and workflow tools - Ability to work independently and collaboratively in a remote environment Key Areas of FocusThis role is focused on outcomes and contribution, not an exhaustive list of tasks. 1. Partner Relations & Cross-Team Coordination - Ensures employer partners receive timely, accurate communication and logistical support throughout the academic year - Strengthens internal coordination by keeping partner information, processes, and documentation up to date and accessible 2. Mentor Matching & Fieldwork Operations - Executes mentor matching and fieldwork logistics for Teacher Intern and Induction programs in alignment with CTC standards - Maintains organized, compliant records and coordinates schedules and communication between candidates, mentors, and school partners 3. Credentialing & Licensure Support - Supports candidates’ successful progression toward Intern, Preliminary, and Clear teaching credentials through accurate tracking and guidance - Maintains credentialing databases and responds to credential-related inquiries with clarity and precision 4. Academic Operations & Enrollment Support - Provides administrative and logistical support for seasonal enrollment cycles, onboarding, and registration processes - Maintains internal systems and tools used for academic operations, data tracking, and progress monitoring 5. Systems, Technology & Process Improvement - Acts as a liaison between Graduate Studies and internal technology teams to troubleshoot tools and support system enhancements - Audits existing workflows and contributes to improvements that increase efficiency, clarity, and scalability Collaboration & Communication - Works closely with: Graduate Studies team, Growth team, Program Directors, Registrar support and internal technology teams - May support or guide: Graduate candidates, mentors, field supervisors, and employer partners - Participates in: Partner meetings, internal planning meetings, staff retreats, and the annual CCAC Conference Expectations for GrowthAs Graduate Studies continues to scale, this role may grow in scope and ownership—taking on more responsibility for process design, systems improvement, and cross-functional coordination, with opportunities to influence how academic operations and partner experiences are structured over time.
