Operations Support Specialist
CAP Index
• Process and fulfill online product orders • General communication with clients regarding orders, invoices, and basic account inquiries • Assist with accounts receivable follow-ups and invoice tracking • Coordinate internally to schedule work efforts tied to product delivery and client requests • Enter and maintain accurate data in CRM and internal systems • Support setup and maintenance of vendor and client portals • Answer incoming phone calls and route inquiries to appropriate team members • Provide administrative backup support to accounting and operations teams • Assist sales team members with administrative and operational needs, especially during travel or customer visits • Maintain organized records, documentation, and internal tracking tools
Job Requirements
- College degree
- Relevant administrative, sales support, operations, or customer service experience strongly preferred
- Experience working with a CRM system (e.g., HubSpot, Salesforce, Zoho, etc.)
- Familiarity with basic accounting processes or accounting software is a plus
- Strong attention to detail and organizational skills
- Ability to manage multiple tasks and priorities independently
- Comfortable learning and working with new technologies and platforms
- Professional demeanor with strong written and verbal communication skills
- Reliable, responsive, and collaborative team player
