Role Description We are seeking an experienced Procurement Manager to lead vendor selection and pricing for the development and execution of marketing campaigns across various media channels, including digital, print, and direct mail. Collaborating with internal teams and external vendors, you will contribute to the overall success of fundraising and engagement programs for local, national, and international nonprofit clients. In this position, you will be responsible to ensure campaigns are bid and awarded to the best fit partners at a competitive price. Trafficking work to our supplier network, you will help keep jobs on schedule, error-free and within budget. The position requires a high degree of knowledge with lettershop and print production technologies, competitive bidding, and good communication skills. Key Responsibilities - Manage project schedules and meet deadlines: set, synchronize and drive schedules in cooperation with the client, internal team, and external suppliers. - Liaison with management, internal departments, and vendors/suppliers to troubleshoot problems and provide innovative solutions. - Traffic proofs and approvals, manage art and data files between agency to vendor. - Be flexible and proactive. - Conduct competitive bidding, awarding projects to vendors that can meet schedules and stay within budget. - Analyze print, data, and mailing information for efficiency and to reduce costs; provide cost savings recommendations and develop ongoing relationships with suppliers and internal stakeholders. - Collaborate with account teams to find cost-saving measures. - Escalate vendor performance issues internally and facilitate solutions. - Contribute to continuous improvement in the processes. - Adhere to required timelines for all projects. - Recognize specific needs of each client. - Communicate to account teams on campaign production status. Qualifications - 5+ years’ experience with agency production traffic: proofs, approvals, managing art & data files. - 5+ years’ experience bidding print production, preferably in the non-profit industry. - Current and up-to-date understanding of Litho printing methods, Digital printing methods, data processing, personalization, mail shop operations and postage. - Nonprofit fundraising and/or agency experience preferred, with a strong background in direct mail, print production, and lettershop processes. - Knowledge of project collaboration software – ie. Basecamp, Teamwork, Asana etc. - Demonstrated project management and organizational skills to manage competing deadlines. - Hands on problem-solving approach to challenges. - Ability to multi-task and develop project plans for multiple clients. - Possess a positive attitude in a fast-paced environment; includes working with a broad range of clients and team members. - Strong Microsoft Office skills. - Excellent written and verbal communication skills. Qualifications and Skills - 5+ years of experience in direct mail, print production, and media planning, preferably in nonprofit fundraising or agency settings. - Strong expertise in digital media buying, email marketing, data analytics, and omnichannel campaign management. - Knowledge of print and lettershop operations, as well as digital advertising platforms like Google Ads, Meta Business Suite, and programmatic media tools. - Familiarity with project collaboration software (e.g., Basecamp, Teamwork, Asana). - Proven track record of managing complex campaigns with multiple deliverables and stakeholders. - Analytical mindset with the ability to interpret performance data and make strategic adjustments. - Strong Microsoft Office skills and proficiency with marketing analytics tools. - Exceptional organizational and project management skills, with the ability to juggle competing priorities. - Excellent written and verbal communication skills to liaise effectively with clients, teams, and vendors. - Positive attitude and adaptability in a fast-paced, dynamic environment.
