The Opportunity We are seeking a Benefits and Leave Manager to own and operate our employee benefits, leave of absence, and workers' compensation programs across a workforce of 1,500+ employees across the US. This role sits at the intersection of compliance, employee advocacy, and human resources, requiring someone who can navigate complex multi-state regulations while delivering a seamless, human experience for employees navigating some of their most challenging moments. Compensation: $110,000 to $120,000 annually, based on your experience, plus bonus potential. Schedule: Monday through Friday, hybrid role. Office located in Irvine, CA. What You’ll Own - Manage benefits administration ensuring plan eligibility, carrier coordination, and billing are maintained accurately. - Manage annual open enrollment end-to-end, including carrier communications, employee education, system configuration, and post-enrollment audits. - Serve as the primary point of contact for benefits broker and vendor relationships. - Lead employees through the interactive process and support their return to work after extended leave of absence including coordinating with respective parties for benefits and housing deductions. - Ensure accurate leave pay calculations, including coordination of state-mandated paid leave, STD/LTD offsets, and PTO usage during leave periods. - Track and manage multi-state leave entitlements across 37+ states, including FMLA, state-specific PFML programs, and local ordinances, ensuring accurate eligibility determinations and notice compliance. - Oversee COBRA administration and manage qualifying event notifications in coordination with the benefits carrier. - Manage and oversee workers' compensation claims, ensuring timely and accurate processing ensuring timely progression from intake through resolution. - Ensure compliance with federal, state, and local regulations related to benefits, leaves and workers' compensation. - Reconcile monthly benefits carrier invoices against enrollment data, process internal billbacks where applicable, and resolve discrepancies with carriers. - Conduct regular audits of benefits, leaves and workers' compensation data to ensure accuracy and integrity. - Maintain and update employee records in the payroll, benefits, and workers' compensation systems. - Contribute to department-wide initiatives including benefits plan design evaluation and compliance program development. What You Bring - Technical skills - Hands-on experience administering multi-state leave programs (FMLA, state PFML, ADA accommodations). - Working knowledge of benefits plan types: medical, dental, vision, FSA/HSA, life, 401k, COBRA. - Intermediate Excel skills: formulas, pivot tables, reconciliations, data validation. - Familiarity with HRIS and benefits administration platforms; ADP Workforce Now experience strongly preferred. - Understanding of relevant compliance requirements: ACA, HIPAA, DOL regulations. - How you work - High degree of accuracy and comfort managing multiple priorities under deadline. - Discreet and professional handling of sensitive employee information. - Clear written and verbal communication: you can explain a complex leave situation to an employee who has never heard the word FMLA. - You approach problems analytically but lead with empathy when the situation calls for it. Qualifications - Bachelor's degree in Human Resources/Business Administration preferred or equivalent combination of education and experience. - Minimum of 5 years of experience in HR and Benefits, with a focus on benefits and leaves in a high-volume environment (1,500+ employees). - Experience managing benefits in a multi-state environment strongly preferred. - ADP WorkForce Now experience preferred. - Microsoft Office (Excel, Word, Outlook) experience required. - CEBS, CBP, or PHR/SPHR certification a plus.​​​​​​​ We’ve Got You Covered! - Medical, Dental & Vision: Highlights include company-paid individual PPO-HSA plan (with $1,200 annual employer contribution); HMO options for California residents. The Opportunity We're looking for a Director of Payroll who wants to own something significant: a complex, multi-state operation with real visibility, a direct line to the Chief People Officer, and room to build the processes and systems that will carry us into our next chapter. Payroll isn't a back-office function here; it's a strategic pillar of how we take care of our people. Compensation: $160,000 to $180,000 annual salary, based on experience, plus bonus potential. Work Model: This role is based on-site at our Irvine headquarters to enable close collaboration with the team and other departments. Initially onsite; transitions to a hybrid schedule (one remote day per week) once fully onboarded. What You’ll Own Payroll Leadership & Operations – Your Core Domain You'll lead end-to-end payroll operations for 1,500+ employees across multiple states including a significant hourly and field workforce. This means more than processing: you'll own compliance (wage/hour laws, multi-state tax, garnishments, W-2/1095 reporting), internal controls, and the accuracy and timeliness of every cycle. - Lead and develop the payroll team, setting clear goals and service standards. - Own ADP Workforce Now and ADP Workforce Manager: configuration, audits, integrations, and improvements. - Partner with Finance on GL mapping, accruals, funding, and monthly reconciliations. - Build dashboards and reporting for leadership on payroll accuracy, cycle metrics, and audit findings. - Drive process improvements that reduce cycle time and increase self-service adoption. Benefits, Leaves, Retirement Administration & Workers Compensation – Strategic Oversight You will partner closely with external brokers and a benefits-experienced team member to ensure programs run smoothly and employees are well-served. - Oversee open enrollment planning and execution with broker support. - Ensure accurate pay treatment and benefit continuation through leave of absence events. - Maintain compliance across medical, dental, vision, FSA/HSA, 401(k), and disability plans. - Coordinate workers' compensation reporting and vendor relationships. Qualifications - 8–12+ years of progressive payroll leadership experience, including multi-state compliance and high-volume hourly workforce environments (1,000+ employees). - Bachelor's degree required. CPP/SHRM certification a strong plus.
