• Taking full ownership of daily operations and administration across the business • Acting as the primary point of contact for clients via phone, email, and WhatsApp — maintaining a high level of responsiveness and professionalism • Managing the full order lifecycle from confirmation through to delivery, ensuring timelines are met and issues are proactively addressed • Supporting and driving the sales process — following up on quotes and leads, nurturing client relationships, converting enquiries, and identifying upsell opportunities • Building strong, long-term client relationships that lead to repeat business and referrals • Coordinating production workflows, suppliers, and timelines within a bespoke or made-to-order environment • Assisting with product costing, pricing structures, and custom specifications • Identifying inefficiencies and implementing process improvements without being prompted • Building and maintaining systems that support organisation, visibility, and scalability • Communicating consistently with the CEO via WhatsApp — staying aligned on priorities, updates, and business activity at all times • Operating as a trusted right-hand to the CEO, supporting both operational and commercial priorities
• Proactively manage and protect your principal's calendar — scheduling networking coffees, events, and follow-ups while guarding deep-work blocks • Flag priority emails, draft responses, and keep communications moving • Prepare a Monday agenda and Friday recap each week: what's coming up, who's being met, follow-ups due, pending tasks • Log and track contacts, schedule 1-2-1 meetings, and manage follow-up prompts after events and coffees • Research people before meetings — background on key contacts, companies, leads, and collaborators • Curate local industry events, mixers, and meetups worth attending • Draft outreach and follow-up email templates across professional categories • Conduct targeted research on prospects, opportunities, and contacts — compiling organised summaries • Support with cover letter preparation and outreach campaigns • Assist with professional registration applications and multi-step admin processes • Book co-working spaces, scout venues, arrange RSVPs, and coordinate travel logistics for US and UK trips
• Executive support to the Principal Adviser. • Strategic diary management: booking, prioritising and protecting time. • Inbox triage and email management. • Meeting preparation and follow-up. • Act as first point of contact for clients. • Manage the end-to-end client journey across multiple financial workflows. • Maintain and improve operational dashboards and KPI reporting.
