Role Description The Data & Automation Program Coordinator supports the Automation Team by owning the execution, coordination, and follow-through of both data operations and project/process improvement initiatives. This role ensures that accurate data flows reliably into reporting and dashboards while simultaneously driving day-to-day execution of projects, documentation, and operational improvements. This position translates strategic direction into actionable work, maintains operational discipline across multiple initiatives, and supports scalable, data-informed decision-making across the organization. This is a fully remote role; however, candidates must reside in Texas due to occasional in-state travel and team alignment. Key Responsibilities - Data Operations & Reporting Execution - Perform daily and weekly extraction of raw data from various company systems and sources. - Assist in the manual cleaning and formatting of datasets to ensure they are ready for analysis. - Execute routine, recurring reports (daily/weekly/monthly) to track service levels and departmental KPIs. - Monitor existing dashboards for discrepancies or visual errors. - Project & Program Execution - Manage incoming project requests through intake, tracking, prioritization, and follow-up. - Coordinate day-to-day execution of active projects, ensuring deliverables progress according to scope, timelines, and priorities. - Identify stalled items, risks, or dependencies early and proactively drive resolution or escalation. - Track milestones, decisions, and action items across multiple concurrent initiatives. - Act as a liaison between operational teams, IT, billing, clinical leadership, and external partners as needed. - Operational & Meeting Support - Provide administrative and coordination support for IT, operations, and project meetings. Prepare and maintain agendas, notes, decisions, and action items, capturing requirements and next steps. - Follow up with stakeholders to ensure completion of assigned tasks and commitments. - Prepare project updates and summaries, including charts and presentation materials for leadership and operational meetings. - Documentation, Process & Change Support - Assist in the testing and documentation of new automation tools and software implementations. - Maintain up-to-date process documentation, SOPs, job aids, and shared reference materials. - Manage feedback trackers, forms, dashboards, and project artifacts. - Ensure documentation is organized, accessible, and consistently maintained. - Support change management efforts, including training materials, communications, and rollout planning. - Serve as a first point of reference for questions related to solutions in production by directing users to shared resources and documentation. Qualifications - Required - High level of proficiency in Microsoft Excel or Google Sheets (Pivot Tables, lookup functions, formulas). - Strong proficiency in Microsoft tools including Teams, Planner, OneNote, SharePoint, and Power Automate. - Exceptional organizational, documentation, and follow-up skills. - Proven ability to manage execution across multiple workstreams simultaneously. - High attention to detail with a strong focus on identifying inconsistencies in large datasets. - Excellent written and verbal communication skills. - Preferred - Familiarity with SQL (basic queries) or BI tools such as Power BI or Tableau. - Experience supporting healthcare, clinical, or operational environments. - Background in project coordination, operations, process improvement, or data operations.
