Senior Payroll Processor Hybrid/Remote Location: Petaluma, CA Job Description: Full-time Description $95,000–$125,000/year | Full-Time | Petaluma, CA Hybrid (3 Days In-Office) Remote Possible | Exempt | Reports to Controller About the Role: Oversee and process all payroll operations for Muir Wood, a residential treatment provider for teens. You'll process and manage semi-monthly payroll processing, ensure compliance with federal, state, and local regulations, and partner closely with HR and Finance teams. This role owns the hands-on full payroll lifecycle—from onboarding and timekeeping to year-end filings and 401(k) administration. Why Join Us: - Hybrid schedule with 3 days in-office preferred / Remote possible - Lead payroll processing and operations for a mission-driven healthcare organization - Full benefits: Medical, Dental, Vision, 401(k) + match, PTO - Collaborative partnership with HR, Finance, and Accounting teams - Opportunity to drive process improvements and system optimization What You'll Do: - Hands-on processing of semi-monthly, multi-site payroll with high accuracy. - Process and manage complex pay scenarios, including bonuses, shift differentials, and retro pay. - Ensure compliance with California payroll laws, including wage and hour requirements. - Support regular rate of pay calculations and overtime adjustments. - Assist with FLSA overtime compliance and payroll audits. - Process terminations and ensure final paycheck compliance. - Process and manage garnishments, tax deductions, and employment verifications. - Support year-end processes (W-2s, audits, reconciliations). - Maintain payroll data integrity within systems such as Paylocity. - Manage 401(k) contributions, deductions, reconciliation, and compliance reporting. - Oversee workers' compensation reporting and annual audit. - Train supervisors on Paylocity for timecard approvals and PTO management. - Monitor regulatory updates and implement compliant policies and processes. - Generate labor cost reporting to support management decision-making. - Partner with HR on benefits integration, HRIS systems, and file feeds. Requirements What We're Looking For: Must Have: - 7+ years of hands-on payroll processing experience in California. - Strong knowledge of: California payroll compliance, regular rate of pay calculations, overtime and wage/hour regulations. - Experience with HRIS/payroll systems (Paylocity preferred). - Strong Excel skills and attention to detail. - Ability to troubleshoot and resolve payroll discrepancies. Preferred: - Associate's or Bachelor's degree in Accounting, Finance, or related field - Basic knowledge of GAAP - Experience in healthcare or multi-entity payroll environments - Background in payroll system implementation or optimization About Muir Wood: We provide trauma-informed, relationship-centered residential treatment for teens ages 12–17 struggling with mental health and substance use challenges.
