Role Description We are looking for a detail-oriented, self-motivated professional who stays cool under pressure and is ready to provide high-level support to one of the most impactful individuals in our business at our Santa Monica location. We are open to non-local candidates who can align with Pacific Time working hours. What you will do: - Deliver personable and responsive customer service by serving as a trusted point of contact for client questions, concerns, and order needs. - Communicate effectively with internal and external partners to navigate orders, resolve issues, and keep customer priorities moving forward. - Review, update, and maintain quotes upon request, ensuring information is accurate, timely, and aligned with customer needs. - Maintain accurate sales and order information in internal systems, including order processing, purchasing activity, vendor updates, and customer backlog management. - Stay organized with customer follow-ups, forecast reports, and order updates to help release, reschedule, expedite, or cancel purchase orders as needed. Qualifications - Strong written and verbal communication skills, with the ability to craft professional emails, prepare client-facing documents, and share information clearly with customers and partners. - High attention to detail and accuracy when entering, reviewing, and maintaining customer, order, and sales data. - Proficiency with Microsoft Office, especially Excel and Outlook, with the ability to navigate spreadsheets, manage email communication, and support day-to-day workflow needs. - Strong interpersonal skills with the ability to work effectively across teams, leadership levels, and communication styles. - Excellent time management and prioritization skills, with the ability to manage multiple requests, follow-ups, and deadlines efficiently.
