YOUR ROLE: The Biotechnology Prosecution Assistant plays a key role in supporting a collaborative patent prosecution team, assisting paralegals and legal professionals with the preparation and maintenance of U.S. and foreign patent matters. This role contributes to docket management, filings, sequence analysis, and administrative processes, while supporting projects that advance clients’ innovation initiatives. The position requires strong attention to detail, organization, and the ability to manage multiple priorities in a fast-paced legal environment. YOUR IMPACT: - U.S. & Foreign Patent Support: Assist with workflow for U.S. and foreign patent filings, including reviewing foreign associate communications, coordinating formalities, tracking documents, ordering certified copies, and preparing documents for legalization. - Patent Prosecution Assistance: Support patent prosecution activities, including USPTO e-filings and preparation of Information Disclosure Statements (IDS) by locating and uploading references to IPDAS and USPTO systems. - Sequence & Data Management: Analyze, organize, and manage polynucleotide and amino acid sequence information; prepare sequence listings and respond to sequence listing requests. - Document & Correspondence Management: Prepare and review correspondence with foreign associates and clients regarding applications, filing requirements, and prosecution updates to ensure accuracy and timeliness. - Docketing & Workflow Support: Assist with maintaining patent dockets, tracking deadlines, providing data collection, reporting, and general support to the patent prosecution team. - Administrative & Operational Support: Manage administrative tasks including mail processing, courier packages, expense reports, check requests, invoice processing, copying, scanning, labeling, and document organization to support day-to-day operations. - Team Collaboration: Work closely with paralegals, attorneys, and support staff to ensure efficient workflow, strong communication, and high-quality client service. YOUR SKILLS: Required: - Bachelor’s degree in Biology, Chemistry, or an equivalent biological science required. - Patent prosecution experience or training within a law firm setting preferred. - Familiarity with electronic research tools and patent prosecution filing systems. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). - Exceptional attention to detail, problem-solving abilities, and strong organizational skills. - Effective verbal and written communication skills with individuals at all levels. - Ability to maintain high accuracy and low error rates. - Adaptability and flexibility in job responsibilities based on strategic goals. - Ability to exercise sound judgment, maintain confidentiality, and use discretion. - Professional demeanor that effectively represents the firm. - Initiative and accountability for projects. - Ability to work independently, manage shifting priorities, and meet deadlines. - Flexibility to work before or after normal hours as necessary to meet job demands. Your Role: The Legal Administrative Assistant will play a key role in supporting the Firm’s prosecution team by ensuring the efficient and accurate handling of administrative tasks related to the patent prosecution process. This professional will assist legal professionals and paralegals with preparing and filing patent applications with the USPTO and supporting all phases of the prosecution process. The Legal Administrative Assistant will be relied upon for their strong communication, grammar, proofreading, and writing skills, as well as their exceptional attention to detail. This role reports to the Director of Human Resources and contributes to the overall success of the legal support function. Your Impact: - Patent Prosecution Support: Assist attorneys and the prosecution team with all phases of the patent prosecution process, including filing utility, design, and national phase applications with the USPTO and foreign patent offices. Prepare and file continuing applications and ensure accurate documentation throughout. - Document Preparation & Editing: Draft, edit, and proofread complex documents, reports, and correspondence based on detailed and general instructions. Use Microsoft Word and other firm software to ensure accuracy and consistency in all materials. - Docket and Deadline Management: Review and maintain attorney dockets, monitor deadlines, and track actions required for U.S. and foreign patent matters to ensure timely and effective case management. - File and Records Management: Create and maintain both electronic and physical patent files. Integrate new patent files from acquisitions, ensure proper organization, and support e-filing with the USPTO. - Client Communication: Draft and send correspondence to clients regarding the status of U.S. and foreign patent applications, including acknowledgments, patent certificates, and status updates. - Calendar and Travel Coordination: Manage attorney calendars, organize meetings, and make travel arrangements as needed to support efficient attorney scheduling. - Workflow and Time Entry: Support attorneys with timely and accurate time entry using firm-specific software and client-specific billing protocols. Manage incoming and outgoing work using Timekeeper Work Queues. - Collaboration and Project Support: Provide general administrative assistance to the patent prosecution team and support special projects as needed. Foster team collaboration and contribute to the smooth functioning of the practice area. - Portal and System Maintenance: Maintain client-specific electronic portals and ensure data is current, accurate, and aligned with client and firm requirements.
