Description: Reporting to the Conference & Events Manager, the Conference & Events Coordinator assists with coordinating and executing various aspects of the company’s medical education conferences. In addition, the Conference & Events Coordinator assists with additional in-person, hybrid, and virtual events as assigned. This highly visible position will require full-cycle project management and event planning skills. Responsibilities: (Conferences) - Ensures successful execution of various assigned conference initiatives to include room setups, food and beverage, audio visual, room block management, registration, and sponsor coordination - Serves as liaison with hotels for submitting room lists and monitoring weekly room pickup reports - Sources and negotiates with vendors and suppliers for attendee promotional items - Assists with coordinating faculty participation to include confirming registration, travel, hotel accommodations and other presentation logistics as needed - Communicates and disseminates event related Information to sponsors and exhibitors - Assists with managing sponsor and exhibitor participation, informs sponsors and exhibitors of deadlines, and coordinates the production of sponsor related deliverables - Assists with managing the production and onsite execution of conference signage and sponsor branding elements, ensuring a polished, professional brand presence - Collaborates with various departments and stakeholders to gather pertinent event details and participates in weekly meetings to provide updates and disseminate crucial information throughout the planning process - Effectively utilizes internal organizational tools to manage and track event project timelines and related tasks - Demonstrates responsive and thoughtful white-glove service to event attendees, faculty, and sponsors - Reviews conference-related documents and correspondence for consistency - Assists with creating onsite internal and external logistical documents such as Know Before You Go, Staffing Guides, and event planning SOPs - Supports tactical preparation and implementation of conference activities such as preparing name badges and registration lists, assembling conference materials, and assisting with onsite event execution Responsibilities: (Non-Conference Related Events) - Manages the operational delivery of assigned in-person, virtual, and hybrid events to include pre-event planning, day-of event execution, and post-event communication - Oversees the entire event life cycle including site selection, contract negotiation, F&B planning, A/V coordination, onsite event execution, vendor management, budget and reconciliation, shipping of materials, and creation of required event logistics documents - Provides leadership and demonstrates strong communication and project management skills as part of a cross functional team What we Offer! Summary: In this role, the Associate Project Manager is responsible for assisting in managing all aspects of publications projects from inception to completion. Responsibilities include facilitating multidisciplinary project teams, interfacing with each department within the company, meeting client and management expectations, establishing strong faculty relationships, and ensuring programs remain on target and within agreed-upon parameters. The Associate Project Manager is responsible for budget development, maintenance and reconciliation, managing external suppliers, keeping programs on time and focused on primary objectives, providing ongoing updates to internal team members and client contact(s), and resource management. The number of simultaneous programs managed by each Associate Project Manager is dependent on the scope and nature of each initiative. The ideal candidate is an exceptional communicator with experience successfully leading multidisciplinary teams. We are seeking individuals with strong financial management skills who are highly organized, adept at multitasking/prioritizing, and have the ability and willingness to motivate others. Responsibilities: - Build and maintain strong relationships with clients and faculty members - Maintain and manage timely and professional written and verbal communications with clients and faculty members - Ensure client expectations are met on all levels of program activity - Establish and maintain a strong knowledge of client organizations, products, disease states, and publications - Develop new project budgets - Contribute to new business development activities within the account team - Manage budgeting, financial monitoring, and reconciliation of individual projects - Schedule and conduct start-up, interim, and final team meetings for each project, establish and maintain time and events schedules, and provide ongoing updates to client and team as required by account team on each initiative to ensure successful management and completion - Facilitate progress of multidisciplinary project teams to ensure within-budget, on-time, on-strategy performance - Own the detail of daily account work on each project - Oversee and facilitate development of all project activities - Assist in training new account team members as required - Maintain company policies as they pertain to all activities - Adhere to all Lockwood Group policies and standard operating procedures Education: A bachelor’s degree is required. Professional Skills & Experience: one to three years of relevant project management experience in a publications environment is required. Candidates must have the ability to grasp and retain scientific information, along with a strong technical aptitude and working knowledge of Microsoft Office, including Outlook, Word, PowerPoint, and Excel. Candidates must have experience with publication management platforms, such as iEnvision/Datavision and PubStrat.
