Role Description The Claims Coordinator ensures accuracy and timely filing for all dental claims for assigned office and reports problems and issues on follow up report to dental office. Reviews Accounts Receivable reports on assigned rotation for all offices, following up on outstanding insurance claims and balances; working problem EOBs, denials, and processing appeals as needed. Responsibilities - Reviews clinical note, x-rays, and account ledger for cohesion of information - Creates and submits e-claims and paper claims attaching any necessary x-rays, notes, narratives, charting, etc. This includes ortho claims - Sends claims through clearing house and manages all invalid and rejected claims - Claims should be sent out within 48 hours of the date of service - Any account or claim issues are included on a Follow Up report to the dental office or assigned to the designated DO team member within PMS with the expectation that answers and corrections will be made within 48 hours of sending the report - If accounts are unresolved from the dental office from the follow up report, an Urgent Weekly Report goes to the dental office - Files corrected claims triaged from the AR Specialist based on returned problem EOBs - Manages Accounts Receivable report on an assigned schedule, reviewing accounts for outstanding insurance claims and balances - Calls and follows up with insurance companies on claims issues and non-payments - Maintains and completes all appeals and requests from insurance companies - Reviews returned EOBs: - Denials - manages info needed for appealing claims - Denials - manages info needed for missing information or attachments - Corrected claims and/or retractions - Tracks all outstanding insurance balances by category and reporting to OM when completed Administrative Responsibilities - Participates in special projects and tasks as assigned - Fills in for other Claims/AR Coordinators as needed - Assists and conducts training of new CBO team members - Attends and contributes to monthly meetings - Reports to CBO-RCM with any grievances or issues Qualifications - Previous experience in dental office administration, dental billing, or insurance claims processing is highly beneficial - Candidates with experience in medical claims processing may also be considered - Familiarity with dental terminology and procedures is essential for accurately processing claims and communicating with dental providers and insurance companies - A good understanding of dental insurance policies, coverage limitations, and claim submission procedures is necessary, including knowledge of common insurance codes (e.g., CDT codes) and claim forms (e.g., ADA dental claim form) - Detail-oriented to accurately review claims, ensure all necessary information is included, and identify any discrepancies or errors - Strong communication skills for interacting with patients, dental providers, insurance companies, and other staff members, including both verbal and written communication skills - Ability to effectively manage and prioritize multiple tasks, such as processing claims, following up on outstanding payments, and resolving claim disputes - Proficiency with dental practice management software and other computer applications used for claim processing and administrative tasks is typically required - Good customer service skills for addressing inquiries and concerns in a professional and empathetic manner - Ability to troubleshoot issues related to claim processing, billing errors, or insurance coverage discrepancies - Knowledge of and adherence to legal and ethical guidelines related to patient privacy (HIPAA) and billing practices is essential Benefits - Health and dental benefits - 401(k) - Holiday pay - Paid time off

Job Summary: Posts Insurance and patient payments to PMS, making necessary adjustments and discounts, as needed. Manages database for patient balances by placing accounts in collections. Processes patient and insurance company refunds, supports dental office for all patient financial needs. Responsibilities: Core Responsibilities: - Post EFTs, Lockbox and paper check insurance payments into patient accounts, ensuring proper adjustments and allowable amounts are posted - Maintains all secondary claim filing and attachments - Triage of denials to appropriate team members - Notating accounts when balances are created - Maintains insurance resubmissions and requests to a certain level - Treatment appeals and additional information to the AR/Claims Coordinator - Maintain a collections spreadsheet for all posted monies to be reconciled - Manages all refund requests; patient and insurance for assigned offices - Generates and sends statements daily for any balances created from posting, and again weekly on Friday for any patient who has not received a statement in the previous 30 days - Responsible for maintaining patient aging reports to place accounts in an outside collection company as needed (TSI) - Tracking all outstanding insurance balances by category and reporting to OM when completed Administrative Responsibilities: - Participates in special projects and tasks as assigned - Fills in for other AR Specialists as needed - Assists and conducts training of new CBO team members - Attends and contributes to daily/weekly/monthly meetings - Reports to CBO-RCM with any grievances or issues Qualifications: Education & Experience: - High school diploma or equivalent required; associate's or bachelor's degree in Accounting, Finance, Healthcare preferred - Minimum of 2–3 years of experience in Accounts Receivable, dental billing, or revenue cycle management - Familiarity with dental or medical insurance billing processes, terminology, and coding (e.g., CDT, CPT, ICD-10) Skills & Competencies: - Proficient in using Open Dental (PMS), EHRs, and insurance portals - Strong understanding of EOBs, EFTs, insurance payment posting, patient billing, and AR workflows - Excellent attention to detail and accuracy in data entry and reconciliation - Effective problem-solving and analytical skills, especially in reviewing and resolving denials - Ability to communicate professionally with dental office staff, patients, and insurance companies - Proficient in Microsoft Office, particularly Excel for maintaining spreadsheets and reporting - Ability to prioritize and manage multiple tasks in a deadline-driven environment Other Requirements: - Ability to work independently and as part of a team - High level of integrity and commitment to patient confidentiality and compliance In return for providing an excellent employee and patient experience, we offer a great benefits package to include health and dental benefits, 401(k), holiday pay and paid time off.

Job Title: Database Administrator (DBA) Company: Lightwave Dental Location: Remote in VA or NC (some travel required) Reports To: Sr. Director of Information Technology Position Summary As a Database Administrator at Lightwave Dental, you will be the backbone of our data infrastructure. You will design, manage, optimize, and secure our dental practice databases across a hybrid environment encompassing on-premises and virtual servers. Your primary focus will be on database administration, with a heavy emphasis on Disaster Recovery, Business Continuity, and seamless infrastructure modernization through database clustering. Key Responsibilities - Database Administration: Design, install, configure, upgrade and maintain dental practice database software and servers in a hybrid cloud environment (on-premises and cloud-hosted servers). - Disaster Recovery & Business Continuity (DR/BC): Design, implement, and routinely test comprehensive backup and restore strategies. Ensure all data architecture strictly aligns with defined Recovery Time Objectives (RTO) and Recovery Point Objectives (RPO). - Database Clustering: Design, test, implement, and maintain database cluster(s) to optimize performance and ensure high availability. - Virtualization & Migration: Lead and execute Physical-to-Virtual (P2V) migrations to modernize legacy clinic servers and integrate them into our broader infrastructure. - Performance Tuning & Capacity Planning: Monitor database performance and usage, implement changes, and troubleshoot bottlenecks to ensure uninterrupted access to critical dental practice management systems. Monitor hardware, database utilization, and third-party integrations to anticipate and adjust storage and resource requirements as needed. - Security & Compliance: Ensure all database architectures comply with healthcare data security standards (HIPAA) through robust access controls and encryption. Required Qualifications - Core DBA Experience: Proven track record as a Database Administrator managing robust relational database systems, including database clusters. - Technical Expertise: Strong, hands-on experience with SQL, MariaDB, and InnoDB storage engine. - Hybrid Environments: Demonstrated ability to manage infrastructure bridging On-Premises networks and Microsoft Azure. - Resilience Planning: Extensive experience handling database backups, restores, and establishing Disaster Recovery/Business Continuity (DR/BC) protocols. - SLA Management: A strong mathematical and operational understanding of RTO/RPO metrics and how to architect systems to meet them. - Virtualization: Practical experience performing Physical-to-Virtual (P2V) server migrations. Preferred Qualifications - Industry Software: Hands-on experience with Open Dental practice management software is highly desired. - Advanced Cloud Storage: Familiarity with Azure Blob Storage for managing scalable, cost-effective backup retention and archiving. - Healthcare Experience: Previous experience working within HIPAA-regulated environments.
