Role Description The Executive Assistant at Indiana ABA Institute, a key role within our organization, is an opportunity that offers a rich and rewarding working environment. Assisting executive level management and performing a wide range of administrative duties, the Executive Assistant facilitates the smooth running of our office. - Act as the primary point of contact between executives and internal/external clients. - Manage the organization and scheduling of meetings and appointments for executive staff. - Prepare reports, memos, invoices, letters, and other documents using word processing, spreadsheet, database, or presentation software. - Support the executive in the organization's strategic initiatives, including project management and follow-up. - Conduct research and data analysis as needed to support decision making. - Manage detailed expense reports and reconciliation for the executives. - Maintain office supplies inventory and anticipate office needs. - Develop and maintain an efficient documentation and filing system. Qualifications - A bachelor's degree or equivalent work experience is required. - A minimum of 3 years executive assistant or relevant administrative experience is essential. - Strong organizational skills and the ability to prioritize multiple tasks seamlessly with excellent attention to detail. - Demonstrated ability to handle confidential information with discretion. - Excellent written and verbal communication skills. - Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners. - Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint). - Problem-solving capabilities necessary to accomplish the duties and tasks of the position. - Ability to react with appropriate urgency to situations and events that require quick response or turnaround.
