Finance Contractor – Accounting Support

• The contractor will provide accounting and financial operations support to the Finance team. • Services include supporting day-to-day accounting processes, assisting with payroll administration, maintaining accurate financial records, and contributing to monthly close activities. • The contractor will work closely with the Accounting Manager and other members of the Finance team to ensure accurate transaction processing, organized documentation, and compliance with established financial procedures. • Record and code accounts payable transactions in QuickBooks Online, ensuring invoices, receipts, and reimbursements are complete, properly approved, and accurately coded. • Process vendor payments through Bill.com and maintain supporting documentation. • Reconcile Bill.com activity to QuickBooks Online monthly. • Prepare and issue customer invoices and maintain accounts receivable schedules. • Track incoming payments and assist with receivable monitoring. • Review vendor expenditures for appropriate classification, including identification of prepaid expenses. • Maintain vendor records and documentation. • Maintain contractor expense logs and monthly reporting. • Maintain invoicing and deliverable tracking schedules related to grants and contracts. • Prepare and initiate payroll processing in coordination with the payroll provider and Human Resources. • Support payroll reconciliations and documentation. • Assist with payroll allocations across projects and funding sources. • Prepare IT allocations across grants and projects to support cost distribution. • Process retirement and HSA contributions. • Support workers’ compensation reporting. • Assist with management of payroll tax accounts and coordination of quarterly and annual filings. • Maintain state tax exemption certificates. • Assist with annual retirement plan reconciliations. • Support staff with timesheet entries in BigTime and ensure accurate allocation of hours across grants and contracts. • Administer Brex credit card processes including receipt compliance and transaction coding. • Run missing-receipt reports and maintain receipt tracking. • Update QuickBooks Online with supporting receipts and documentation. • Serve as a point of contact for employee reimbursements including travel, office supplies, and professional development expenses. • Support key components of the monthly close process including reconciliation of accounts such as AR, AP, prepaid expenses, and accrued liabilities. • Prepare routine journal entries including accruals, prepaid adjustments, and reclassifications. • Assist with financial reporting support and variance analysis preparation. • Ensure invoices received before month-end cutoff are entered or accrued appropriately. • Maintain organized digital financial records to support audits and grant reporting. • Monitor contract end dates in Airtable and assist with grant and contract closeout processes. • Maintain organized digital filing systems for financial documentation. • Follow established policies and procedures and support compliance with internal controls and accounting standards. • Assist the Finance team with documentation required for external audits and financial reporting.

Financial Planning & Analysis Director

• Serve as a key strategic partner in advancing Coleridge’s financial strength and long-term growth • Deliver high-impact financial analysis, robust forecasting, and sophisticated modeling that inform organizational decision-making and resource allocation • Translate complex financial data into actionable insights that support both near-term goals and long-range strategic objectives • Develop and maintain complex financial models to support budgeting, long-term financial planning, and product pricing • Collaborate cross-functionally to develop annual operating budgets and long-term financial forecasts aligned with strategic objectives • Conduct comprehensive financial analysis to identify trends, opportunities, and risks in the organization, and provide recommendations for improvement • Prepare accurate and timely financial reports, including actual versus budget variance analysis and cash flow analysis • Support the development of pricing strategies to match products’ value, cost, and customer demand to achieve financial targets and provide competitive prices • Contribute to the development and maintenance of a strong control environment through comprehensive and well documented processes and procedures, ensuring compliance with relevant regulations.
• Lead large-scale government data projects, including cross-functional team coordination, client relationship management with federal agencies, and budget management. • Create and implement record linkage algorithms using Python, integrating administrative records and survey data to enhance the value of government agency data products. • Modernize outdated government data systems by transitioning legacy codebases from SAS/STATA to R/Python. • Develop and deliver educational materials and training programs on Python, R, and SQL coding best practices to enhance government agency staff capabilities. • Train and mentor government analysts at federal and state agencies, strengthening data science analytical capabilities across agencies. • Build and maintain interactive dashboard visualizations using tools like R Shiny to deliver dynamic, data-driven reports that inform agency leadership and policymakers in decision-making. • Conduct text analysis and natural language processing (NLP) to extract insights from unstructured data. • Author and contribute to federally funded reports and research papers documenting the impact of government data science initiatives.
• Develop and maintain centralized systems for tracking project scope, milestones, deliverables, and client satisfaction • Conduct monthly and quarterly project reviews with division leads and project teams • Work with project leads to build and update estimates-to-complete (ETCs) for all active projects • Serve as Project Manager for a limited number of existing Coleridge projects • Develop and manage labor allocation plans across projects based on available staff capacity and project budgets • Partner with Finance to generate regular reports on project spend-to-date and staff utilization • Use time tracking and forecasting tools to inform real-time adjustments in workload distribution • Define and implement consistent project roles (Project Lead, Account Lead, etc.) • Work across divisions and support teams to align on delivery responsibilities and operational handoffs • Maintain a project portfolio dashboard with KPIs tied to Coleridge’s strategic goals • Lead feedback loops with staff and leadership to improve delivery practices • Conduct onboarding and training for new project leads and contributors on PMO processes • Regularly update project management documentation, tools, and templates to reflect best practices
