The role plays a key part in assisting attorneys and helping guide matters through the administration process from opening through completion. You will work closely with attorneys, clients, financial institutions, and court personnel to help ensure probate and trust administration matters move forward efficiently and accurately. While the primary focus of this role is estate and trust administration, experience with estate planning documents and processes is helpful and may provide opportunities to assist the estate planning team as needed. This position requires strong organizational skills, attention to detail, and the ability to manage multiple matters simultaneously while maintaining clear communication with clients and the legal team. The position may be structured as full-time in-office or hybrid, depending on experience and the needs of the team. Key Responsibilities - Take primary responsibility for managing probate, trust, and estate administration matters under attorney supervision, including preparing, filing, tracking, and following through on all required legal documents and deadlines - Prepare and coordinate court filings, correspondence, and documentation related to probate estate and trust administration - Assist with the preparation and coordination of real estate and related documents associated with probate estates and trust administration matters - Maintain highly organized case files and electronic document systems to ensure accurate recordkeeping and efficient retrieval of information - Track and proactively manage deadlines and filing requirements to ensure timely completion of court filings and administration tasks - Coordinate communication with clients, courts, financial institutions, and other outside professionals to ensure matters progress efficiently and clients remain informed - Collaborate with attorneys and team members to support the efficient progression of matters from opening through completion - Provide support to the estate planning team when needed, including assisting with preparation of wills, trusts, and powers of attorney

About the Role We are seeking an experienced paralegal with a strong foundation in both estate planning and estate and trust administration who can step in and provide meaningful support with minimal training. This role is ideal for someone who is confident in client interactions, understands the full lifecycle of estate planning and administration matters, and can assist in client meetings, review documents, and help move cases forward with accuracy and efficiency. You will serve as a key partner to the attorney, helping manage matters from initial client discussions through completion, while also supporting ongoing client communication and case progress. Key Responsibilities Client Interaction & Case Support - Participate in client meetings and assist with discussions around estate plans and administration matters - Communicate directly with clients, answering questions and providing updates on case status - Serve as a trusted point of contact and help guide clients through processes Estate Planning Support - Assist in drafting and reviewing estate planning documents - Prepare and organize client information for plan design and execution - Ensure accuracy and completeness of documents prior to signing Estate & Trust Administration - Manage administration matters from intake through closing - Work with executors, trustees, beneficiaries, and financial institutions Document Drafting & Systems - Draft documents using estate planning and administration software - Maintain organized and accurate client files - Utilize systems such as Microsoft 365, CosmoLex, and Lawmatics
Role Description The Member Advisor is an essential part of the Atticus team, delivering exceptional support to law firm owners enrolled in our coaching programs. This role involves proactively engaging members, managing onboarding, and coordinating events to ensure member success. Working closely with facilitators, members, and internal teams, the Member Advisor strives to make every member’s journey with Atticus smooth, empowering, and impactful. Key Responsibilities - Member Support - Respond to daily member inquiries via phone and email, offering guidance and resources. - Provide tailored recommendations to support members’ progress toward their goals. - Help members stay accountable to their commitments and provide supplemental coaching between quarterly sessions. - Member Engagement & Retention - Conduct monthly 30-minute check-ins to track progress, document notes, and offer targeted support. - Manage communications related to events, sessions, and program details, keeping members informed and engaged. - Facilitate smooth transitions between Atticus coaching programs to maintain high member satisfaction. - Quarterly Program Sessions - Prepare for and support virtual or in-person quarterly coaching sessions. - Develop content for sessions, including worksheets and presentations, to enhance learning. - Coordinate logistics for events, including A/V setup and catering orders. - Provide real-time support to facilitators and participants during sessions and handle post-session follow-up. - Internal Collaboration & Special Projects - Collaborate with other Member Advisors and facilitators on member-focused initiatives. - Maintain detailed member records and track program performance and retention metrics. - Assist with content development for future coaching programs. - Onboarding New Members - Conduct orientation calls to gather information about new members and their firms. - Guide new members through the onboarding process to set them up for a successful journey with Atticus. - Keep member profiles up-to-date and coordinate personalized coaching plans. Qualifications - Excellent communication skills, particularly via phone and email. - Strong organizational and time management abilities. - Skilled multitasker with keen attention to detail. - Proactive, self-motivated, and professional. - Proficient in Microsoft Office Suite (Outlook, OneNote, Teams, SharePoint, PowerPoint), Adobe Acrobat, and Zoom. - Background in client service, relationship management, or program coordination preferred. - Familiarity with law firm operations is a plus. - Ability to work independently and as part of a collaborative team. - Commitment to meeting KPIs and performance metrics set by leadership.
