Role Description The Senior Salesforce Administrator owns and evolves ANNA's Salesforce ecosystem, which is built on Lumary (a Salesforce OEM) and supports clinical service delivery, referrals, business development, and operational workflows across our markets. This is not a basic “clicks-and-tickets” admin position — you are the technical owner of deep configuration, automation, data architecture, security, and system reliability in a regulated, HIPAA-sensitive environment. Based in the Philippines and working contracted hours anchored to US Eastern Time, you will partner closely with operations, clinical leadership, and product/engineering to ensure Salesforce is scalable, compliant, and aligned with real-world healthcare workflows. This role reports directly to our Co-Founder & CEO. Success is measured by: - Platform stability and performance - Smooth and low-risk Lumary releases - High and auditable data quality - Reporting the whole organization trusts and uses - Stakeholders treating you as the system owner — not just a support resource Qualifications - 4+ years of hands-on Salesforce Administration experience in complex orgs - Demonstrated ability to work US Eastern Time hours (approx. 9 PM – 6 AM Manila time, including DST shifts) - Deep expertise in Salesforce Flow (advanced), permission models & security architecture, data modeling and schema design, and change management across sandboxes - Experience working with Salesforce managed packages, ideally OEM products - Salesforce Administrator Certification required; Advanced Admin or Platform App Builder strongly preferred - Strong debugging and root-cause analysis skills - Experience supporting Salesforce integrations (REST APIs, middleware, or vendor-managed integrations) - Demonstrated AI fluency — comfort using Claude or similar tools daily for debugging, documentation, and workflow design - Excellent written documentation and communication skills; ability to operate independently and make sound technical decisions Requirements - Own day-to-day administration of Salesforce (Enterprise) with Lumary-managed packages and OEM constraints - Configure and maintain complex objects, record types, page layouts, dynamic forms, flows, validation rules, and permissions within Lumary's data model - Understand and work within Lumary package limitations, upgrade paths, and dependency constraints without breaking managed components - Act as the technical owner for Lumary releases, sandbox testing, regression testing, and production deployments - Design, build, and maintain advanced Salesforce Flows (record-triggered, screen flows, scheduled flows) - Replace legacy workflow/process builder logic with optimized Flow-based automation - Implement robust error handling, logging, and guardrails to prevent data corruption - Partner with developers when Apex is required, but independently handle 90%+ of automation via configuration - Own Salesforce data model health: relationships, indexing strategy, field usage, and scalability - Design and maintain data validation frameworks to ensure clinical, billing, and operational data accuracy - Manage data imports, exports, and transformations using tools such as Data Loader and Workbench, accounting for PHI sensitivity - Lead deduplication strategies and data quality monitoring - Implement and maintain role hierarchies, permission sets, permission set groups, sharing rules, and field-level security - Ensure Salesforce configuration aligns with HIPAA-compliant workflows (least privilege, auditability, access traceability) - Partner with leadership to support audits, internal controls, and compliance reviews - Manage login security, MFA enforcement, session settings, and connected app access - Support and monitor integrations between Salesforce/Lumary and external systems (e.g., EHR, billing, scheduling, reporting tools) - Troubleshoot integration failures using logs, debug tools, and data inspection - Coordinate with vendors and internal engineers on API-based workflows and data syncs - Build and maintain advanced reports and dashboards for operational, clinical, and leadership use - Ensure reporting accuracy given Lumary's managed objects and relationships - Partner with stakeholders to translate business questions into reliable Salesforce analytics - Act as a technical advisor to operations, clinical teams, and leadership - Translate complex requirements into scalable Salesforce solutions - Create clear documentation for system behavior, data definitions, and admin processes - Provide tier-2/3 support for escalated Salesforce issues - Partner with internal technology teams on AI-driven capabilities — surfacing Salesforce/Lumary data to agentic workflows and identifying where AI reduces admin toil Benefits - Hourly Rate: $12 – $15 USD per hour (based on experience and certifications) - Guaranteed Retainer: 80 hours per month minimum, billed monthly whether fully utilized or not - Overage: Additional hours billed at the same rate; pre-approval required above 100 hours/month - Engagement Type: Independent contractor — remote, with core availability during US Eastern hours Company Description ANNA (Allied Network for Neurodevelopmental Advancement) is a mission-driven organization that provides ABA services to young autistic children (under the age of 6) and their families using a neurodiversity-affirming, Naturalistic Developmental Behavioral Intervention (NDBI) approach. Role Description The Authorization & Eligibility Specialist is responsible for obtaining prior authorizations and verifying insurance coverage to support families in understanding and accessing their current benefits. This position plays a critical role in ensuring timely access to care by minimizing delays in service initiation and helps streamline the intake process, prevent disruptions in care, and support efficient reimbursement across the revenue cycle. Reporting to the Director of Revenue Cycle Management, this individual will work closely with clinical and billing teams to coordinate authorization and eligibility workflows, ensure accurate and timely information exchange, and support a seamless client onboarding experience.
