Operations Coordinator

Role Description We are looking for an energetic and highly organized Operations Coordinator to oversee coach scheduling and workforce operations for youth sports programs across Canada. This role requires a combination of high-level coordination, real-time problem solving, and operational responsiveness to ensure programs run smoothly every day. - Build, manage, and maintain weekly coaching schedules across multiple programs and regions across Canada - Coordinate staffing assignments based on coach availability, certifications, travel requirements, and program needs - Monitor schedule coverage daily and proactively identify potential staffing gaps - Respond quickly to last-minute coach cancellations, absences, and scheduling conflicts - Coordinate replacement staff and operational adjustments in real time to ensure uninterrupted program delivery - Communicate schedule updates and operational changes clearly to coaches, managers, schools, and partner organizations - Maintain accurate scheduling records and workforce tracking systems - Support onboarding logistics and scheduling setup for new coaching staff - Work closely with regional managers and leadership teams to ensure operational efficiency and program quality Qualifications - Highly dependable and responsive - Strong sense of accountability and ownership - Quick thinker with strong operational instincts - Team-oriented and professional communicator - Comfortable making decisions in real time - Previous experience in operations coordination, workforce scheduling, logistics, dispatching, or staffing coordination - Strong organizational and multitasking skills - Ability to remain calm and effective in high-pressure situations - Excellent written and verbal communication skills - Strong problem-solving ability and attention to detail - Comfortable using scheduling software, spreadsheets, and communication platforms - Ability to work independently while managing multiple moving parts simultaneously - Experience in sports, youth programming, education, or multi-site operations is considered an asset Requirements - Compensation: $800-1200 USD per month plus bonus structure
