Role Description We are seeking an organized and proactive AI Fluent Operations Coordinator to support daily operations in a remote environment. The role includes administrative coordination, scheduling, communication, documentation, and task tracking while leveraging AI tools to improve efficiency and workflows. Key Responsibilities - Manage calendars, meetings, and scheduling across time zones (PST alignment required) - Handle inbox management and draft professional email communications - Prepare documents, reports, and maintain organized digital files - Perform data entry and maintain records in spreadsheets, CRMs, or databases - Coordinate with internal teams, clients, and vendors - Track tasks, deadlines, and project timelines - Use AI tools (e.g., ChatGPT) to draft communications, summarize information, and support workflow automation Qualifications - Experience as virtual assistant or administrative support, operations coordination, or similar roles - B2 English proficiency or higher - Availability during PST business hours - Strong organizational and communication skills - Ability to work independently in a remote environment - Comfortable using AI tools to improve productivity Requirements - Technical Skills - Google Workspace or Microsoft Office - Project management tools (Asana, Trello, ClickUp or similar) - Communication tools (Slack, Zoom) - Basic CRM familiarity preferred - Reliable internet connection and remote work setup

Role Description Direct, review and manage daily operations and staff, including all reporting. Monitor processes and budgets to reduce waste and increase efficiency. Develop a workforce plan to align the needs and priorities of projects and to identify and develop key employees. Location & Travel Details: - You’ll get the opportunity to travel across the US, helping our team build renewable projects. - This position is remote with regular travel (50-75%) to job sites. - A vehicle allowance will be provided. Responsibilities - Effectively communicate Company beliefs throughout the organization. - Promote culture of quality workmanship in the field. - Promote and communicate the Company quality policies and procedures. - Develop operational policies and procedures for maximizing safety, performance and profitability. - Participate and/or lead problem solving and continuous improvement efforts. - Monitor key metrics and develop operational strategies for profitability. - Develop project matrix with the Project Management Team. - Manage budget and coordinate materials to ensure ongoing operations are equipped and staffed. - Establish, communicate, and evaluate progress towards field goals and benchmarks. - Resolve all issues and concerns relating to field office operations. - Work with Project Management Team on salary, allowances, payments, etc. - Develop best practices and standard tools to use to continuously improve operational efficiency. - Streamline all field office operational, functional and administrative systems and ensure they are in compliance with local laws and regulations. - Develop workforce plan with Project Management Team for each project to include the general labor needs, supervisors, site management and equipment necessary for each project, as well as identify key employees and training needs that can be tied to SMART goals. - Monitor and manage field office expenses with assigned budget. - Ensure timely preparation and submission of required field reporting. - Manage equipment matrix by supervisor to ensure accountability for equipment. - Oversee HR related procedures including recruitment, promotions, transfers, termination and salary negotiations. - Participate in Root Cause Analysis investigations and drive closure of accompanying action items. - Provide feedback and performance related discussions to staff. Training - Complete Performance Evaluations and process all ESRs, Wage Changes and Manpower requests. - Evaluate, train, mentor and manage all field supervision. Supervisory Responsibilities - Complete performance evaluations for direct reports. - Cross-train staff to be able to move between industrial, civil, power, oil and gas, etc. Qualifications - Bachelor's degree from four-year college or university in quality, industrial technology, business management, construction, science or related major or equivalent combination of education and experience. - Strong electrical experience within EPC or similar construction project environments. - Experience in commissioning. - Solar construction project experience preferred. - Experience in craft construction positions and within Construction Manager job titles preferred. - Supervisory experience preferred. - ASQ or Certified Six Sigma Green Belt preferred.
